We are seeking a proactive and highly organized Executive Task Manager to support our leadership team and drive execution of high-priority this role you will coordinate cross-functional activities manage critical projects and communications and ensure alignment with executive priorities.
The ideal candidate has experience supporting executive leaders excels at problem-solving and multitasking in fast-paced environments and is confident working with senior stakeholders to keep initiatives on track from start to finish.
What Youll Do
Executive Support & Coordination
- Report directly to the Chief Executive Officer (and support other executives as required).
- Serve as a central coordination point between executives leadership teams and project owners to ensure effective communication and follow-through.
- Facilitate efficient scheduling workflow and delegation of responsibilities to ensure executives are focused on high-value activities.
- Support executives in strategic planning sessions and critical meetings by ensuring all necessary information and deliverables are in place.
- Take on other responsibilities and assignments from time to time as requested by executive management.
Task & Project Management
- Manage and prioritize executive-level tasks ensuring timely completion and alignment with company goals.
- Track the progress of key strategic initiatives providing executives with clear visibility into milestones risks and next steps.
- Develop and maintain systems and processes for task management follow-up and accountability across the leadership team.
Analysis & Preparation
- Anticipate executive needs by proactively identifying upcoming deadlines potential issues and areas requiring attention.
- Prepare high-quality briefing materials summaries and reports to support executive decision-making.
Administrative Responsibilities:
- Hold a morning briefing with the executive to define the days plan clarify success criteria and connect activities to near- and long-term objectives.
- Manage the executives email by reviewing organizing filtering prioritizing and purging emails acting as a delegate on his or her behalf.
- Manage the executives calendar creating or modifying events coordinating logistics preparing agendas and ensuring adequate time for preparation and follow-up.
- Prepare agendas take detailed meeting notes and track follow-up actions.
- Maintain organized records of executive tasks communications and project updates.
- Maintain executive dashboards task lists and project tracking systems.
- Maintain company and customer information confidential at all times.
- Log time each week in thecorporate time-tracking system.
- Keep working hours that overlap US Eastern Time by five or more hours each business day (for example 6am to 2pm 7am to 3pm 8am to 4pm or 9am to 5pm)

- Project Tracking: Monitor cross-functional initiatives milestones risks and dependencies; produce clear status updates and action logs.
- Collaboration: Work effectively across leadership and teams; influence without authority and foster strong working relationships.
- Adaptability: Pivot quickly as priorities evolve; proactively identify needs blockers and opportunities to optimize executive time.
- Quality: Produce accurate polished high-quality work with a heightened attention to detail.
- Communication: Synthesize inputs into concise briefs agendas and decision memos.
- Productivity: Proficiency in Google Workspace Microsoft Office Microsoft Project Atlassian Confluence and other similar tools.
Preferred Qualifications
- Bachelors Degree in administration or other similar area of study.
- 3 to 5 years of proven experience in an administrative role.
- Oral and written fluency in English.
- Excellent oral and written communication skills.
- Willingness to travel up to 25% to partner sites customer sites event venues and other locations.
Home Office Requirements
- A minimum internet speed of 25 Mbps for downloads and 1.5 Mbps for uploads is required
- A private Wi-Fi network with a strong unique password is necessary to access company data or systems
- The company provides a monthly internet stipend. New hires must complete a speed test during onboarding and update any default router passwords to ensure secure network access
