Job Description

Job Summary

The Associate Administrative Operations will be responsible for ensuring the smooth day-to-day functioning of the office. The role includes managing office operations coordinating employee travel and accommodation handling visitor management and providing administrative support to employees and management.

Key Responsibilities
Office Administration

  • Oversee daily office operations front desk and reception activities
  • Manage office supplies stationery pantry and ensure timely procurement.
  • Coordinate with housekeeping and support staff to maintain a clean and organized work environment.
  • Ensure smooth functioning of office facilities such as seating arrangements meeting rooms and utilities.
  • Training for ground staff (Housekeeping Pantry boys Office Boys etc.)

Visitor Management

  • Manage visitor entry registration and hospitality.
  • Coordinate with security and front desk staff to ensure proper visitor protocols are followed.
  • Organize meeting room bookings and ensure availability of required facilities for visitors/guests.

Employee & Office Support

  • Support to stakeholders from an admin perspective.
  • Assist in organizing office events celebrations and employee engagement activities.
  • Act as a point of contact for employees regarding office-related queries.
  • Handle courier mail and communication services.

Coordination & Reporting:

  • Coordinate and arrange employee travel and accommodation requirements.
  • Liaise with vendors for office services like travel agencies hotels cab services and event organizers.
  • Maintain accurate records of travel accommodation visitor logs and office expenses.
  • Prepare basic MIS reports for management related to travel accommodation and admin activities.

Qualifications & Skills:

  • Graduate in Business Administration/Management/Commerce or related field.
  • 2 4 years of experience in office administration travel desk or front office management.
  • Proficiency in MS Office (Word Excel Outlook Powerpoint).
  • Strong organizational and coordination skills.
  • Good communication and interpersonal skills.
  • Ability to multitask and work under deadlines.
