At Catapult we are assisting our client a 50 year-old firm with deep roots in NC to find an experienced Project Administrator to join the team in their Raleigh North Carolina office. About the Role:
As a Project Administrator youll provide vital support throughout the design and construction process-ensuring project documentation is accurate organized and delivered on addition to project-related tasks youll also help maintain smooth daily operations at our Raleigh office. This is a highly collaborative role ideal for someone who thrives on organization communication and team support in a dynamic people-first environment.
Key Responsibilities:
Design and Construction Support (Approx 80% of your day)
- Coordinate and assemble project specifications into complete formatted spec books
- Track project deadlines and proactively support project managers and technical staff
- Prepare and manage AIA contracts and related documentation
- Process submittals: download log assign reviewers and return to contractor
- Process RFIs: log distribute for review return responses and maintain records
- Ensure reviewed documents are accurate consistent and properly filed
- Generate and distribute weekly reports of outstanding submittals and RFIs
- Maintain CPR (Change Proposal Request) logs and file associated correspondence
Office Administration Support (Approx 20% of your day)
- Open and close the office daily and assist with office upkeep and shared space organization
- Greet any visitors and support a welcoming professional front office experience
- Coordinate occasional office events
- Manage supply inventory mail handling and basic facility needs
- Liaise with building management and coordinate vehicle maintenance logs
- Provide administrative support for special projects as needed
What You Bring:
- 5 years in an administrative project coordination or AEC (Architecture Engineering Construction) industry support role
- Alignment with the companys core values and people-first culture
- Exceptional organizational skills with a strong eye for detail
- Proficiency in Microsoft Office and PDF tools (Adobe Bluebeam etc.)
- Experience with Deltek Vision or Vantagepoint is a plus
