The Office Coordinator is the first point of contact for patients and is responsible for front desk operations patient scheduling insurance verification and maintaining organized records. This person plays a crucial role in ensuring smooth office functionality and positive patient interactions.
Essential Responsibilities
Front Desk Duties:
Print and organize daily schedules.
Greet and check in patients.
Collect co-pays and confirm appointments.
Scheduling & Insurance:
Schedule and follow up on appointments.
Verify insurance eligibility and pre-authorizations (Medicaid Medicare private insurance).
Maintain active/inactive patient files.
Office Operations:
Order office supplies.
Coordinate with building management.
Maintain facility security and handle petty cash.
Technology & Reporting:
Use Electronic Health Record (EHR) systems proficiently.
Generate reports and manage databases.
Patient Relations:
Monitor satisfaction handle reschedules reminders and general communication.
Help with ongoing performance and quality improvements.
Education: High school diploma or equivalent.
Experience:
3 years in database use and management.
Medical office experience preferred.
Familiarity with Medicare Medicaid MCOs.
Strong problem-solving and follow-through.
Bilingual/multilingual ability is a plus.
Organizational skills and self-motivation are essential.
Frequent sitting standing walking bending.
Able to lift items over 20 lbs.
Must have adequate hearing vision and comprehension.
Office-based with occasional interaction with difficult or impaired individuals.
Must be prepared for occasional stressful or high-pressure situations.
