Duties and Responsibilities

1. Performs administrative and educational duties to support the daily operations of the Department of Medicine including coordination with faculty and clerkship leadership.

2. Provides administrative support to the Clinical Faculty Personnel Committee in processing over 400 clinical faculty appointments and reappointments in compliance with University John A. Burns School of Medicine (JABSOM) Liaison Committee on Medical Education (LCME) and Accreditation Council for Graduate Medical Education (ACGME) requirements.

3. Maintains accurate and up-to-date databases of clinical faculty records including licensure board certifications training completion and evaluations.

4. *Compiles analyzes and reports clinical faculty and medical student data for accreditation and internal quality improvement purposes.

5. *Monitors and tracks departmental financial accounts including extramural awards operating budgets and endowments.

6. *Manages the Departments social media presence including content creation platform engagement and digital marketing strategies to promote departmental programs and achievements.

7. Supervises lower-level administrative support as needed.

8. *Serves as backup support for other team members as needed.

9. Other duties as assigned.

Minimum Qualifications

1. Possession of a baccalaureate degree in health sciences science education Business Administration or related field and 0 year(s) of progressively responsible professional experience with responsibilities for planning organizing and/or coordinating the operations of a program or service in a business healthcare research or academic setting; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.

2. Functional knowledge of principles practices and techniques in the area of planning organizing and/or coordinating the operations of a program or service in a business healthcare research or academic setting demonstrated by knowledge understanding and ability to apply concepts terminology.

3. Functional knowledge and understanding of principles theories federal and state laws rules regulations and systems associated with planning organizing and/or coordinating the operations of a program or service in a business healthcare research or academic setting.

4. Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of planning organizing and/or coordinating the operations of a program or service in a business healthcare research or academic setting.

5. Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.

6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.

7. Demonstrated ability to operate a personal computer apply word processing software and Microsoft Excel Word PowerPoint other databases various technologies and/or multiple PC and Apple software applications.

8. Demonstrated ability to multi-task in a fast-paced working environment.

9. Ability to maintain confidentiality at all times.

10. Working knowledge of the Health Insurance Portability and Accountability Act (HIPAA) the Family Educational Rights and Privacy Act (FERPA) Title IX and other policies rules and regulations.


Desirable Qualifications

1. Knowledge of UH policies and procedures.

2. Knowledge of academic medicine operations.

3. Experience working with physicians and academicians.

4. Experience working with spreadsheets and analyzing data.
