GENERAL DESCRIPTION:


The Wyoming Department of Education is looking for a Senior Administrative Assistant to support the daily operations of the Accountability Division and Chief Policy Officer at its Cheyenne Office. This dynamic role involves providing high-level administrative assistance directly coordinating day-to-day activities travel and meetings for the Chief Policy Officer Division Director and division staff. The successful candidate will also serve as a trusted point of contact for stakeholders. This is a rewarding opportunity to contribute to Wyomings education system in a fast-paced environment.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.


  • Responsible for senior administrative management of day-to-day operations assigned programs or projects; may provide leadership and guidance to administrative staff.
  • Acts as liaison between director division administrators and program managers to coordinate calendars for meetings and conference calls.
  • Provide instruction on office policies and procedures.
  • Attends takes minutes and prepares necessary records for meetings.
  • Makes all necessary travel arrangements for staff.
  • Receives analyzes and responds to requests for information.
  • Explains program requirements and interprets policies.
  • Tracks information.
  • Assures the procurement process is managed appropriately and according to procedures established by the Department of Administration and Information.
  • Monitors fiscal documentation such as travel vouchers expense vouchers accounting of state purchase card and requisitions.
  • Work may involve taking on various administrative responsibilities in order to allow management to focus on critical issues.
  • Coordinates a variety of advanced diversified and/or confidential administrative support functions.
  • Represents management in matters with immediate staff agency staff other agencies and/or the public.
  • Other duties as assigned.

Qualifications


PREFERENCES:


Preference may be given to individuals with prior administrative assistant experience with strong communication computer and collaborative skills.

  • Ability to proofread accurately and ask for clarification as required.
  • Research and analytical skills.
  • Ability to maintain strict confidentiality.

  • Budgetary and fiscal experience.

MINIMUM QUALIFICATIONS:


Education:
Bachelors Degree (typically in Business)
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II
OR
Education & ExperienceSubstitution:
3-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II

Necessary Special Requirements


PHYSICAL WORKING CONDITIONS:


  • Typically the employee may sit comfortably to perform the work; however there may be some walking standing bending carrying light items driving an automobile etc.
  • Special physical demands are not required to perform the work.


NOTES:


  • FLSA: Non-exempt
  • Travel is estimated at 5%
  • Applicants may be asked to provide transcripts of any relevant coursework at the time of the interview or hire.
  • Successful candidates must pass a fingerprinting background and reference check.
