Job Summary

The Coordinator reports to the clinic/department Leader and is responsible for the coordination of the day-to-day activities within the assigned clinical/department pod. The Coordinator will perform duties under supervision and may provide direction and instruction to support staff. With primary focus on exemplary patient experience they will assist with and coordinate patient care processes during clinic hours to minimize wait times and bottle necks and optimize physician and department/clinic resources.

Coordinator within the Department of Neurology as assigned to subspecialty or responsibility across subspecialties (i.e. Medication Prior Authorizations EMGs Multiple Sclerosis Neuromuscular Headache etc.). Coordinates appointments at Keck outpatient and inpatient settings; maintains schedule ensures authorization and records are received as outlined by attending provider. Coordinate scheduling of procedures such as IV Infusion EMG skin and muscle biopsies multidisciplinary clinics and genetic testing. Stratifies patients based upon presentation of medical records; determines urgency and appropriateness of appointments in collaboration with Nursing and Faculty. Obtains/delegates authorization requests and coordinates diagnostic testing for patients as ordered by neuroscience provider. Triage patient calls to licensed personnel when medical judgment or advice warranted. May perform Medical Assistant duties as needed: Escorts patients to exam rooms obtains and appropriately records patient vital signs/medication list monitors patient flow assists physicians with clinical procedures (EMGs) prepares patient chart with pertinent medical information. Performs various office and clerical duties. Ensures patients right to privacy safety and confidentiality is maintained. Maintains a safe environment in accordance with standards policies and safety regulations. Ensures compliance with infection control policies. Assists manager/director with survey readiness (maintain exam rooms hallways storage areas). Order and restock medical/office supplies as needed. Assists entire department (25 attendings) with medication prior authorization and refill notice to attending neurologist via electronic or paper method. Other duties as assigned.

Essential Duties:

  • Collaborates with Multiple Sclerosis (MS) division faculty to coordinate care of patients receiving Tysabri infusion. Enrolls all Tysabri patients into the TOUCH program. Coordinates monthly transfusion schedule with Keck Hospital and outside transfusion centers. Assists to obtain Tysabri infusion authorization as needed. Collaborates with Tysabri reimbursement specialist and educates regarding copay assistance program when appropriate.
  • Maintains database of all established patients receiving Tysabri infusion treatment. Includes John Cunningham Virus (JCV) status in the database.
  • Monitors and tracks the ordering of labs imaging and JCV testing every 3 months as ordered by MS provider.
  • Collaborates with Keck Hospital and neuroscience RN staff to coordinate first dose oral Gilenya administration including predose screening tests (cardiopulmonary dermatology ophthalmology). Provides proper patient instructions for first dose monitoring at Keck Hospital.
  • Obtains prior authorization for oral MS drugs including but not limited to Gilenya Aubagio and Tecfidera.
  • Provides cross coverage of medical assistant duties to room patients measure and record vital signs assist with medication reconciliation.
  • Assists physician with exams and procedures as needed such as Lumbar Puncture utilizing Universal Protocol.
  • Works with various hospital personnel to resolve issues and accommodate patient. Processes all referrals in a time manner adhering to patient confidentiality.
  • Presents MS patient information weekly at MS meeting to division faculty and research team.
  • Provides supervision of clinic medical supply inventory. Stocks with older items toward front. Submits supply order in timely manner.
  • Obtains prior-authorization for all neurology division medications including high volume anti-epileptic prescriptions as required.
  • Provides cross coverage for clinic staff as needed. Demonstrates flexibility in covering other staff members for sick time vacation or leave of absence.
  • Ability to work independently and in a team setting to accomplish duties in a timely manner.
  • Knowledge of proper chart format. Records patient information in EMR according to Joint Commission standards.
  • Performs other duties as assigned.

Required Qualifications:

  • Req High school or equivalent.
  • Req 3 years Minimum of 3 years experience preferably in acute care or ambulatory care setting.
  • Req Must have excellent communication skills including the ability to speak read and write English proficiently. preferred.
  • Req Must be comfortable with computers and medical terminology. Some knowledge of all insurance types.

Preferred Qualifications:

  • Pref Bachelors degree Degree in related field.
  • Pref Specialized/technical training Graduate from an accredited Medical Assistant Program.
  • Pref Knowledge of medical terminology.
  • Pref Familiarity with word processing IDX Cerner PBAR and scheduling software is preferred.

Required Licenses/Certifications:

  • Req Basic Life Support (BLS) Healthcare Provider from American Heart Association.
  • Req Fire Life Safety Training (LA City) If no card upon hire one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only).

The hourly rate range for this position is $25.00 - $39.69.
