Description

Position Title: Coordinator of Music Organizations.
Department: Music Organizations
Classification: Non-Exempt.
FTE: 1.0.
Work Schedule: Hours to be worked during campus office hours Monday Friday 8:00 a.m. 5:00 p.m. plus evenings and weekends as required for concert management; local travel up to 5% of work schedule; overnight trips average 1-2 trips per year.
Work Location: On Campus.
Hourly Rate:$21 - $23.

Essential Job Duties:

  • Concert production 60% of time.
    • Manage and provide concert duty for concerts on campus and others as needed for Music Organizations supported ensembles.
    • Create and manage concert work orders and their distribution. Ensure all concert arrangements are made in a timely manner working with conductors ensemble student managers and Facilities.
    • Manage and secure performance spaces pianos and all special equipment needs.
    • Train supervise manage and arrange on-campus concert ushers.
    • Assist in creating concert programs for on-campus concerts.
    • Support enhanced events for Resident ensembles and special events including but not limited to ensemble reunions special concerts and events ensemble-related requests from other departments Christmas Festival and St. Olaf Records.
    • Manage music performance and concert calendar. Proof calendar entries and make reservations in R25 for set-up rehearsal performance and teardown for on-campus events for the ensembles supported by the Office of Music Organizations.
  • Touring support - 20% of time.
    • Assist with touring and off-campus needs as requested. Working with both Director and Associate Director of Music Organizations this includes but is not limited to arranging group meals for tours pack-outs gathering and managing hotel information gathering student information for flight lists hotel lists dietary restrictions etc.
    • Travel with and assist on tour(s) as requested and needed according to other Music Orgs tour staffing to support the areas of production marketing and general needs on tour.
  • Administration - 15% of time.
    • Manage and maintain Music Organization storage spaces materials and equipment as needed.
    • Coordinate distribution and collection of robes and robe fittings for choirs with choir officers and managers. Coordinate robe cleaning and inventory. Supervise student managers in Resident Choral Ensembles in this work.
    • Answer ticketing hotline to facilitate sales and return calls from voicemail for Christmas Festival and all tours.
    • Proofread marketing materials emails and programs.
    • Assist with budget management in related areas of focus.
    • Train and supervise student workers as requested.
    • Provide general administrative support for the office and primary administrative support for the Director of Music Organizations including calendar management and credit card reconciliation.
    • Collect and process payments invoices and receipts for the office.
    • Duties as apparent or assigned.
  • Supervisory responsibilities 5% of time.
    • Hire train arrange supervise and manage on-campus concert ushers.
    • Supervise student workers as requested.

Supervision Received and Exercised:

  • Reports to the Director of Music Organizations.
  • This position supervises student workers.

Required Qualifications:

  • Education: College degree in music-related field or performing arts
  • Experience: 1-3 years experience working in concert production administration; knowledge of music (instrumental and choral).
  • Other: Must maintain a valid drivers license and meet St. Olaf College driver authorization criteria with a satisfactory driving record.

Preferred Qualifications:

  • Experience: Music Ensemble and touring experience. Related work as project manager. Experience working in a college or university setting.

  • Skill in working with an extremely high level of detail and visualizing the big picture.

  • Ability to manage and lead students student workers and volunteers.
  • Ability to be self-directed and prioritize with limited supervision.
  • Ability to be self-motivated on long term projects.
  • Ability to communicate effectively in both oral and written form.
  • Ability to always greet patrons and clients in a polite courteous and helpful manner.
  • Ability and willingness to support respect and commit to embracing diverse backgrounds values and points of view to build a strong and inclusive community including faculty staff students and constituents.
