We are looking for an Administrative Specialist II who will provide administrative support to the Early Learning Operations Unit as well as providetechnical support andexpertiseto DEEL staff and subcontractors onthe Early Childhood Education Assistance Program (ECEAP). This positionreportstothe Early Learning Operations Manager.
Supportingthe creation and maintenance of outreach materials for ECEAP Parent Policy Council and child recruitment.
Answeringphone and email inquiries about ECEAP enrollment and supporting families in accessing providers and enrollment opportunities.
Organizingandmaintainingemail lists for differentcontractorand partner groups.
Creatingeditingandmaintainingroutine correspondence spreadsheets presentations documents surveys templates forms and agreements.
Schedulingvenues and interpretersmanaginglogistics andorderingand coordinating food and beverages as needed for in-personmeetings.
Providingcalendar and technical support and takingnotes at all partner meetings andfollowingupon action items.
Participatingin Department Division Unit andAdministrativestaff meetings.
Processinginvoices and helping trackexpenditures.
Maintainingelectronic files and helping with routine data entry and manual filing systems.
Supportingoperations staff in scheduling professional development registrations/travel for training.
Your top 3 in this role will be:
ECEAP Parent Policy Council recruitment support meeting coordination professionaldevelopmentand minutekeeping.
Supportingthe Early Learning Operations Unit with administrative tasks like invoicing reimbursements and electronic file maintenance.
Maintaining audiometer inventory/equipment for child hearing screenings.
You will be responsible for the following annual tasks:
ECEAP recruitment mailer distribution.
Audiometercalibrationand replacement.
You will be most successful with a combination of the following experience skills and abilities:
Experience:Advanced experience with Microsoft Suitedesired especially OutlookSharepoint Teams FormsExceland Planner.
Experience with event planning and meeting coordination.
Some professional knowledge of early learning or childcare especially experience with ECEAP.
Familiarity with financial controls and processes like invoicing transaction coding light budget development.
Skills:

Two years of clerical support experience

This civil-service position is eligible for overtime and is classified as an Administrative Specialist II-BU. The full pay range for this step-progression position is $35.61 to $39.87 per hour. New employees begin at Step 1 of the pay progression which is $35.61 hourly. Current City employees starting rate of pay will be based on Personnel Rules regarding promotions.
This position offersthe flexibilityof a hybrid work schedule. Employees are expected to be in-office3 days per week. Individual schedules will be based onagreementbetween the employee and their supervisor and are subject to change.

Language Premium Pay: Individualsselected to fill this position may be eligible to receive Language Premium Pay (SMC 4.20.360) which provides a $200.00 monthly stipend to qualified bilingual employees who are properly evaluated and assigned to provide direct communication in-language interpretation or translation services to the public on behalf of the City of Seattle.
