About the Position:

The Division of Administration and Finance serves as the backbone of the CSUF campus managing a wide array of operations from maintaining and enhancing university buildings and grounds to providing important business support services. Campus beautification classroom improvements and technological advancements continue to be a priority as we enhance the learning environment and facilities. It is the mission of the Division to provide customer-focused administrative support and steward our physical and financial resources to fulfill the universitys mission and support student success. Partnership with our diverse campus community and its many stakeholders are important in helping our operations provide excellent customer service and results. We seek an exceptional individual to join our team as the Accounts Payable Check Administrative Support Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active energetic mind characterized by highly ethical practices and a commitment to diversity openness flexibility integrity.

Under the general supervision of the Director of Accounts Payable Travel and Tax the Administrative Support Coordinator I plays a key role in coordinating accounts payable and travel-related disbursement functions for the University. This position ensures the accurate and timely execution of vendor payments employee reimbursements and student disbursements while proactively identifying analyzing and resolving issues that may arise. Serving as a primary resource the Administrative Support Coordinator I provides technical expertise support and guidance to the campus community and external partners while ensuring compliance with federal state CSU and CSUF policies and procedures. Responsibilities include carrying out analytical and technical assignments in the areas of accounts payable travel and full pay cycle processes electronic disbursements. Success in this role requires the ability to manage competing priorities meet critical deadlines and exercise independent judgment in decision-making. A thorough understanding of CSU policies regulations and compliance standards is essential to ensure operational accountability efficiency and addition to core responsibilities the Administrative Support Coordinator I provides administrative backup as well as technical support during staff absences and contributes to the successful execution of month-end and year-end close processes. Requires ongoing collaboration with the Financial Services Team CSUF departments employees and vendors to resolve complex issues improve processes and strengthen relationships. As an integral member of the Accounts Payable team the Administrative Support Coordinator I fosters a culture of service and collaboration contributes to departmental initiatives and represents Accounts Payable with professionalism and excellence. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and four years of progressively responsible experience in general office clerical or secretarial work or the equivalent. Thorough detailed knowledge of applicable university infrastructure policies and procedures. Thorough knowledge of English grammar punctuation and spelling. Thorough knowledge of office systems with the ability to use a range of technology systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages tracking financial data and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment which may be rescinded if the background check reveals disqualifying information and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Bachelors degree from an accredited four-year college or university. Knowledge or familiarity with integrated financial accounting systems CFS PeopleSoft/queries and Concur. Knowledge of accounts payable processes travel and procurement policies and procedures. Specific knowledge of CSUF processes and priorities. Ability to effectively use integrated accounting systems and Microsoft Office suite. Possession of the analytical and technical skills necessary to troubleshoot research and resolve transactions.
