Job Description

Job Summary
Performs a variety of duties associated with the Events department and the management and oversight of campus events special projects and leasing agreements. Supports the mission of the college by monitoring administrative operations maintaining and managing leased facilities/spaces and events venues. Leads staff in a positive service to concerns and needs of user groups (internal and external clients) including oversight or management of budget standard operating procedures and department employees in conjunction with the Colleges goals and objectives.

Essential Duties And Responsibilities
Oversees Events department and ensures responsiveness to client requests for space (internal and external) including reserving rooms/facilities and the associated needs including non-instructional technical needs. Manages lease agreements (short term and long term) and arranges for prospective client walk through of space. Supervises department staff including student workers and/or work studies including but not limited to reviewing and approving time sheets assigning work/schedule conducting performance evaluations and providing employee coaching for events and audio-visual staff. Assists in the analysis preparation and compilation of the department annual operating budget documents. Works closely with Audio Visual staff to ensure that technical crews provided by external clients possess the knowledge to adequately operate technical facilities including line sets rigging equipment lighting and sound system within operational timelines. Supports the Vice President/Chief of Staff in functionalities directly related to the division. Maintains comprehensive list of leasing agreements (short-term events leases and long-term space usage leases) and associated budget including tracking payments and maintaining a profit and loss statement Oversees purchase requisitions and purchase orders for the department to be processed in a timely manner. Oversees the preparation and maintenance of contracts and agreements for facilities lease and rentals. Coordinates billing services associated with campus events special projects and campus lease agreements. Oversees events and/or project activities related to performance and meeting areas; assigns tasks and/or provides guidance to personnel responsible for specific functions or phases of the event of project including and not limited to security custodial facilities marketing and other requirements needed for an event. Inspects facilities and ensures they conform to event requirements and also inspects facilities after event to assess any possible damage. Monitors event activities to ensure compliance with college procedures and resolves any problems that rise. Provides customer service to event participants and assists in resolving complaints and issues. Reviews reports and records of activities to ensure progress is made toward specified objectives. Maintains departmental files for records retention. Working hours include evenings holidays or weekends depending on deadline requirements and special events and projects. Attends the workplace regularly reports to work punctually and follows a work schedule to keep up with demands of the worksite. May write specifications for purchase or service contracts for equipment. Completes duties and responsibilities in compliance with college standards policies and guidelines. Uses interpersonal skills and makes sound judgments to decide how duties and responsibilities are completed between coworkers the supervisory chain faculty staff students and customers. Completes all required training and professional development sessions sponsored by Texas Southmost College. Supports the values and institutional goals as defined in the Colleges Strategic Plan. Participates in the process for systematic review and evaluation per the institutional effectiveness model adopted by the College. Promotes positive morale and teamwork within the department and provides exceptional customer service to students faculty and community. Serves on committees as appropriate and as appointed by supervisor. Performs other duties as assigned.
