Description
We are seeking a detail-oriented and proactive Operations Specialist to join our Investment Department. This role is pivotal in ensuring the smooth execution of operational processes related to investment activities. The ideal candidate will have a strong background in investments or financial services excellent analytical skills and a commitment to maintaining accuracy and efficiency in a fast-paced environment.
ESSENTIAL FUNCTIONS:
- Provide operational and administrative support to sales team personnel in daily business practices and processes
- Act as a primary point of contact for custodian issues and concerns
- Assist in preparing relevant paperwork marketing materials and proposals for prospective advisor and client meetings
- Maintain written procedures for documentation requirements and processes
- Initiate monthly processes of investor accounting deliverables: interests distributions trade welcome letters and other such processes
- Report positions and activities to custodians including AIP/DTCC reporting
- Facilitate quarterly redemption requests for fund investors and coordinate with the accounting department
- Maintain key client information in CRM and reporting systems
- Manage individual client web portals and assist clients on the relevant capabilities and services
- Facilitate travel arrangements for attendees to due diligence events in the home office
- Perform other duties assignments and special projects as assigned
Qualifications
QUALIFICATIONS: EDUCATION KNOWLEDGE TRAINING & WORK EXPERIENCE
- Bachelors degree
- 2-4 years of client data operations in a financial services retail or other database administration environment
- Experience in investment operations financial services/financial securities background or a similar role
- Demonstrated organizational and project management skills; ability to manage multiple responsibilities and changing priorities
- Exceptional listening written and verbal communication and relationship-building skills
- Working knowledge and experience with CRM database
- Excellent skills in Microsoft Office Suite (Word Excel PowerPoint Outlook)
- Excellent skills in data control administration maintenance and reporting
- Ability to recognize escalation situations and promptly report issues appropriately
- Highest level of integrity and confidentiality skills
