Salary: Range 48: $51840 - $67992 per year (DOQ).

WASHINGTON STATE RESIDENCY AND TELEWORK INFORMATION


AOC requires employees to reside in Washington State. Any exceptions must be approved. If you are invited to an interview and currently reside outside of Washington State seek more information about residency requirements from the AOC hiring manager of this recruitment.


This position requires you to be in the office at least two (2) days per week.

Duties and Responsibilities


As a key member of the Family and Youth Justice Programs team you will provide essential support that keeps work moving forward in a fast-paced environment. Your contributions will help build a collaborative efficient and supportive workplace - all in service of improving outcomes for children families and communities.


Some of the ways youll make an impact include:

  • Preparing and finalizing correspondence reports spreadsheets and presentations; ensuring clarity accuracy and alignment with AOC standards.
  • Coordinating logistics for virtual and in-person trainings and meetings; drafting meeting agendas producing meeting materials notifying attendees capturing meeting minutes and supporting follow-up communication.
  • Providing technical support for virtual meetings in Microsoft Teams including assisting participants with connectivity managing waiting and breakout rooms supporting presenters monitoring engagement and troubleshooting issues to ensure seamless collaboration.
  • Helping the team stay organized by developing and maintaining filing and indexing systems in SharePoint and Teams; creating consistent structures naming conventions and workflows that make collaboration efficient and effective.
  • Supporting staff and partners with travel arrangements and reimbursement requests ensuring accuracy and compliance with AOC policies and procedures.
  • Assisting with tracking and monitoring contracts and budgets including creating and maintaining spreadsheets to manage deadlines deliverables and expenditures.
  • Ordering receiving and distributing office supplies and materials so staff have what they need to succeed.
  • Supporting the team in maintaining and updating web content and other communication tools to keep information accurate and accessible.
  • Pitching in with a wide variety of other administrative tasks as needed showing flexibility and a team-first mindset in a dynamic work environment.

Qualifications and Credentials


  • Associate of Arts degree in from an accredited college or business school


AND

  • Four (4) years of administrative experience in a professional work environment.
  • Advanced skills using office suite software tools.


Relevant work experience may substitute for education. A combination of education & experience demonstrating a working knowledge of the duties & responsibilities of Administrative Secretary may be considered in meeting the qualifications.


THE IDEAL APPLICANT WILL ALSO HAVE SOME OR ALL OF THE FOLLOWING EXPERIENCE EDUCATION KNOWLEDGE SKILLS AND ABILITIES


  • Proficiency in Microsoft 365 tools especially Teams Outlook SharePoint Word OneNote and Excel with the ability to support collaboration and keep projects organized.
  • Comfort learning and using new applications and technology as needed.
  • Strong organizational skills with a keen attention to detail and accuracy.
  • Excellent communication skills both written and verbal with the ability to interact effectively and respectfully with colleagues court partners and the public.
  • Ability to work in a fast-paced environment where priorities can shift while staying flexible focused and responsive.
  • A collaborative spirit that contributes to a positive team-oriented work environment.
  • Professionalism and discretion in handling sensitive or confidential information.
  • Initiative and problem-solving skills able to anticipate needs identify issues and suggest solutions.
  • Strong time management skills with the ability to balance multiple priorities and meet deadlines.
  • Commitment to the mission of the courts and to advancing justice for children youth and families.
