Overview
The Project Manager Advancement leads key implementation and process improvement projects within Advancement while also acting as the liaison between the Marketing & Communications production team (graphic design photography/videography social media) and Advancement/University stakeholders requesting creative work. The Project Manager ensures an efficient workflow from project intake through to final delivery. The ideal candidate is an experienced project manager with exceptional communication skills strong problem-solving abilities and the capacity to manage multiple priorities in a fast-paced deadline-driven environment.
Key Responsibilities
- Coordinate all phases of significant key projects as identified and prioritized by the VP of Advancement. Some examples are but not limited to the implementation of a new CRM system for Advancement the StFX 175 Celebrations and other large projects affecting both Advancement and the University.
- Receive and review production and project requests from internal and occasionally external clients ensuring they are complete and clear before passing to Production Team.
- Coordinate all phases of creative projects from intake to final delivery ensuring timelines budgets and expectations are met.
- Collaborate with Production Team to assign prioritize and schedule tasks based on bandwidth project deadlines and team capabilities.
- Identify all assets and information required for successful project execution. Proactively follow up with requestors to gather missing materials or clarify instructions.
- Serve as the point of contact between requestors and the Production Team. Translate feedback and updates in a clear and actionable way.
- Help improve internal processes to enhance team productivity including workflow documentation template creation and task tracking systems.
- Maintain up-to-date project tracking and communicate regular status updates to stakeholders (when required).
Qualifications
- Minimum of a Bachelors degree in Business Administration Communications Public relations or Marketing
- Experience in project management. PMP or official certification will be considered an asset
- Experience in project coordination production management or creative operations preferably in a marketing videography or design environment
- Strong understanding of creative workflows and design/production terminology
- Excellent organizational and time-management skills with the ability to juggle multiple projects
- Exceptional communication skillsboth written and verbal
- Proficient with project management tools (e.g. Asana Trello or similar)Comfortable tracking down missing details or assets with persistence and professionalism
