We are assisting our client in identifying and hiring an Estates Assistant to join their team.Our clientsPrivate Client Trusts and Estates Group is dedicated to the personal and sophisticated legal needs of high-net-worth individuals and families.The successful candidate is someone who takes pride in delivering client service that is superior in quality and accuracy. This position requires attention to detail a great attitude a heart for service and a desire to help the team succeed.Responsibilities:- E-file all probate pleadings and process e-service.
- Uploading Orders to the court portal.
- Draft probate and Trust administration pleadings using Westlaw/Lexis Nexis and Form Builder software and Word.
- Track service of notice to creditors andaccountings on beneficiaries of an estate or trust
- Scheduling hearings.
- Docketing probate/trust documents in each file from open to close.
- Prepare packages to clients beneficiaries IRS creditors etc. including correspondence and all enclosures.
- Call clerks and Judicial Assistants; email court staff regarding probate and/or guardianship cases.
- Calendar all deadlines.
- Record deeds and related documents.
- Process all probate mail which includes regular mail certified mail USPS Priority mail and Fed-Ex.
- Keep track and enter billable time for client work.
- Copy and scan appropriate documents to iManage file and organize documents to each probate/trust administration matter.
- Prepare certified mail packets.
- Assist with the maintenance of the original documents in Will safe.
- Submitting check requests via the firms software Chrome River.
- Allocate credit card charges for client costs.
- Correspond with clients on follow-ups.
- Prepare various correspondence such as letters to the court requesting certified copies and returning original documents to clients.
- Attend signing meetings as a witness as needed.
Qualifications- 2 years of related experience in Probate & Trust administration and/or Estate Planning.
- Meticulous attention to detail.
- Must have strong multitasking skills.
- Extensive experience with Word and Excel.
- Experience with Litify and other database management software is preferred.
- Knowledge of Florida E-Filing portal.
