About the Role

As ourOffice Administration Specialist youll be the first point of contact for employees and visitors regarding office and administrative matters. Youll play a key role in ensuring smooth daily operations managing vendor relationships and fostering a welcoming and positive atmosphere in the workplace.

Key Responsibilities

  • Serve as the first point of contact for employees on office facility and administrative topics

  • Organize reception office facilities and company documentation

  • Manage relationships with external vendors (e.g. office supplies equipment)

  • Handle incoming and outgoing correspondence including prioritizing daily mail

  • Coordinate customer and guest visits including logistics accommodation catering and bookings

  • Arrange domestic and international travel

  • Contribute to a positive and engaging office environment

What You Bring

  • Minimum 1 year of relevant experience in office facility or administrative roles

  • Proficiency in English (written and verbal)

  • Strong communication and interpersonal skills

  • Proactive responsive and resourceful approach

  • Ability to multitask and meet deadlines under pressure

  • Discretion in handling sensitive and confidential information

  • Solid computer skills especially with MS Office

  • Full-time availability at the office with a start time between 8:00 and 9:00
