Department:Reservations Reports to:Director of Revenue Status: Hourly Non Exempt Compensation: $18.00-19.00/hour commensurate with experience and education.
Role Summary: Reservations Agents are responsible for providing prompt courteous and accurate handling of all guest room reservation requests changes and cancellations. Beyond accuracy this role serves as the guests first point of contact setting the tone for their stay through thoughtful communication and personalized service. Each call email and interaction is an opportunity to anticipate needs create confidence and ensure the guest feels valued before they ever arrive.
Responsibilities: - Books confirms modifies and cancels reservations in an efficient accurate manner; explains guarantee and cancellation policies and provides confirmation or cancellation numbers as appropriate.
- Provides detailed information on room availability rates upgrades packages and amenities; anticipates guest needs through open-ended questions to tailor recommendations and maximize revenue opportunities.
- Fields incoming calls and maintains professionalism efficiency and control in every conversation to meet departmental service standards.
- Accommodates and documents special requests in the system coordinating with other departments to ensure accurate execution.
- Monitors and responds to reservation inboxes and calls handling confirmations receipts credit card authorizations dining reservations amenity requests and general inquiries in a timely and professional manner.
- Accesses guest history records to personalize service and ensure accurate profile information.
- Sets up proper billing accounts (room tax incidentals tax-exempt and direct billing).
- Upholds quality and performance standards by tracking call activity maintaining an individual call conversion rate that meets departmental benchmarks and participating in periodic quality assurance shop calls.
- Performs daily audits of reservations including previous day review in-house rate and market segment checks and system coding accuracy.
- Maintains complete knowledge of hotel facilities guest room layouts rates packages promotions restricted dates and area events to provide accurate and personalized information.
- Assists with departmental projects reporting and other duties as assigned by the Director of Revenue or Reservations Supervisor.
- Works collaboratively with Front Office Sales and other departments to ensure a seamless guest experience from reservation to arrival.

Minimum Qualifications: Education
- High school diploma or equivalent education required
Experience - 12 years of prior guest service experience preferably in hospitality.
- Previous hotel reservations or front desk experience preferred.
- Familiarity with Opera PMS or similar reservation systems a plus.
Skills - Excellent communication skills both written and verbal.
- Strong organization and multi-tasking skills with attention to detail.
- Ability to work both independently and as part of a team.
Physical Requirements
- Exert physical effort in lifting/transporting up to 15 pounds.
- Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required.
