mission:
The primary mission of the Hotel Food & Beverage (F&B) Events & Operations Coordinator is to assist the F&B Director in managing hotel F&B operations with a strong emphasis on planning coordinating and executing on-site events and banquets. This role is integral in ensuring all events ranging from weddings and corporate conferences to social gatherings are executed flawlessly while also supporting daily restaurant bar and room service operations when needed.
SCOPE OF WORK TEAM
- Reports to F&B Director
- Supports F&B Operations Sales & Catering Team
RESPONSIBILITIES
Event Planning & Coordination
- Partner with the F&B Director and Sales/Catering team to plan and execute a variety of hotel-hosted events including:
- Weddings and social celebrations
- Corporate meetings and banquets
- In-house promotional events (e.g. holiday brunches themed dinners etc.)
- Create and manager Banquet Event Orders (BEOs) diagrams timelines and event briefs.
- Attend pre-conference meetings and walk-throughs with clients and hotel staff.
- Coordinate logistics across departments (culinary AV housekeeping valet etc.)
- Oversee event set-up service and breakdown; be present during key events
Administrative & Operational Support
- Maintain the F&B Directors calendar assist with scheduling communications and documentation.
- Track and organize event-related inventory (linens service ware dcor etc.)
- Assist with invoice reconciliation budgeting and reporting for events.
- Provide operational support during peak hours in hotel F&B outlets (restaurant bar lounge in-room dining).
Guest & Client Relations
- Act as a primary point of contact for event clients during planning and execution.
- Resolve issues promptly and professionally to ensure guest satisfaction.
- Collect post-event feedback and share recommendations for future improvements.
- Support VIP services or special guest requests during F&B events.
Compliance Safety & Brand Standards
- Ensure all events and F&B operations meet hotel brand standards.
- Monitor compliance with health codes fire safety and alcohol service laws.
- Train or coach staff on service protocols and event-specific expectations.
Qualifications
EXPERIENCE
- Prior Experience:
- 2-3 years of experience in hotel event coordination banquet operations or F&B management
- IT Expertise:
- Proficiency in Microsoft Office (Outlook Word Excel); familiarity with hotel event management systems (e.g. Delphi Opera) is a plus.
- Education:
- High school diploma or GED required; associate of bachelors degree in hospitality or related field preferred.
- Subject Expertise:
- Ability to stand and walk for extended periods during events and daily operations.
- Frequently required to reach bend stoop and kneel while setting up or inspecting event spaces.
- Ability to lift carry push or pull objects up to 25-30lbs (e.g. linens decor service items etc.)
- Ability to navigate stairs ramps and uneven surfaces as needed during event setup and operations.
- Visual and auditory ability to monitor events read documents and communicate effectively with guests team members and vendors.
- Ability to multi-task in a fast-paced environment sometimes outdoors or in varying temperatures during special events.
- Strong understanding of food safety and sanitation procedures.
- Must possess excellent time management skills interpersonal and organizational skills.
- Must be able to follow directions with attention to detail speed and accuracy.
- Must be a team player with the ability to work under minimal supervision.
- Must be able to exercise confidentiality and discretion.
- Report any unusual occurrences and/or request to supervisor.
- Read and abide by all the regulations and rules of conduct stated in the Associate Handbook.
- Other Expectations:
- Abide by payroll policies procedures and rules of conduct as stated in the Springboard Hospitality Associate Handbook.
- Demonstrate a working knowledge of all company safety and security procedures.
