Job Responsibilities:
OVERVIEW
Assist the People Success team to provide the best possible service to the Welocalize teams while also supporting Location/Regional initiatives when necessary. You will work closely with the rest of the People Success and Site admin team to ensure that all People Success admin and operational needs are met.
It is envisaged that the role will be a combination of HR Admin / Payroll/ Site responsibilities. However this is subject to change dependent on the needs of the business.
Job Description: The following is a non-exhaustive list of responsibilities and areas of ownership of the People Success & Site Administrator.
HR administration
New Starter & Leaver Process:
Manage the starter and leaver processes in your location and supporting other locations when required (employment contracts & agreements on boarding process exit interviews payroll and benefits)
Co-ordinate all global induction programmes and completing local HR and H&S induction sessions.
Support with all H&S initiatives within your location working with the Occupational Doctor and the Safety Technician where necessary
First point of contact for general HR and operational queries for employees & managers regarding company policies procedures and benefits and ensure that associated information and documentation is up-to-date.
General HR Administration:
- HR Admin transactions regarding hiring onboarding termination processes (mainly documentation and asset retrievals)
- Employee onboarding: Documentation record maintenance
- Ensure that personnel records are fully compliant with audit & legal requirements and producing employee correspondence
- Prepare and send monthly reports to theFinance department (Head Count New Hires Leavers Audit Log & Leave Reports)
- Coordination of Time off absences and leave management: prepare and send monthly reports to finance and payroll partner / collection of medical certificates and any type of certificate required per time-off type / Collection of documents related to payroll and send to finance and payroll partner
- Coordination of HR-related invoices for accuracy
- Assume other special projects/assignments as directed by the People Success Team
Site Administration
- Organise travel/accommodation requests
- Support People Success team in organizing company events and employee engagement activities
- Keeping thesite environment clean and tidy; ensuring resolutions for issues related to wifi access parking etc.
- Ensuring adequate supplies of stationery supporting
- Ensuring all cleaning and maintenance is carried out by contractors satisfactorily
- Managing all site maintenance paperwork
- Manage site security i.e. keyholder list on-boarding and off-boarding of employees parking stickers etc.
- Ensure Covid measures are applied and respected
- Manage physical site operations to ensure alignment with ISO 14001 standard and applicable Welocalize procedures including emergency response and environmentally friendly practices.
- Any other duties as required
QUALIFICATIONS AND REQUIRED SKILLS:
- 1 year in HR Experience working with Payroll and Accounting1 year Site admin experience
- Fluency in English
- Good knowledge of local labor law
- Experience in using Workday is a plus
- Good technical capabilities communication skills teamwork abilities and initiative
- Strong organisational planning and critical reasoning skills
- Demonstrates professionalism confidentiality patience and enthusiasm
- Strong attention to detail Working under pressure and ability to manage multiple projects/deadlines
