What this job involves:

As a Facilities Coordinator you will provide general facility management coordination with continuous monitoring of the facility. Working closely with the facility management team you will handle routine operations including procurement of supplies and services managing work orders within CMMS issuing purchase orders managing bid requests and service/construction contracts asset/equipment tracking/disposal and processing accounts payable and receivable. Youll also support site events to ensure assigned tasks for the group and subcontractors are completed successfully.

What your day-to-day will look like:

Administrative Functions:

  • Assist the Facility Management Team with tactical planning for goals objectives and completion of daily workload
  • Provide facility-specific assistance to the account management team as needed or requested
  • Coordinate and maintain facility management tasks as assigned
  • Coordinate and support client or JLL special events
  • Provide support for meetings and conference room reservations as needed and directed
  • Assist with coordination and scheduling of maintenance activities

Communication and Relationship Coordination:

  • Provide general facility management services including continuous monitoring of office/facility operations
  • Act as interface with client employees visitors and guests
  • Ensure appropriate follow-up with customers to address their needs
  • Provide direction and information to vendors facilities staff and service providers to ensure excellent coordination and execution of work within the client environment with minimal disruption

Compliance:

  • Properly and effectively administer and maintain JLL system information
  • Assist with budgetary requests analysis and reporting
  • Assist with researching analyzing and reporting budget variances

Required Qualifications:

  • Associates degree in business or related field or equivalent work experience
  • 2 years of experience in facilities or property administration
  • Superior customer service skills and orientation
  • Ability to maintain professionalism at all times especially under stressful situations
  • Ability to plan and manage work under time constraints
  • Ability to multitask and work without direct supervision
  • Proficiency in MS Office Suite with strong written verbal and interpersonal skills
  • Strong organizational skills and collaborative working style

Preferred Qualifications:

  • Bachelors degree
  • Experience working within automated work order systems

Physical Requirements and Work Conditions:

  • Ability to work in an office environment with typical administrative activities
