Job Summary
The purpose of the Executive Assistant is to provide administrative support to the Homewood Mountain Resort leaders with particular focus toward assisting the General Manager and the Sr. Director of Mountain and Ski Operations. Other areas of focus would be to support data collection and presentations from senior leadership meetings manage scheduling of meetings and minutes and execution of special projects for the Senior Team Group.
Duties and Responsibilities
Provide administrative support to the Company Executives and other staff as may be assigned. Examples would include attendance of senior leadership meetings maintain accurate meeting minutes follow up with key leaders on deliverables etc.
Manage schedules through Microsoft Outlook scheduling meetings.
Work on special administrative projects as assigned which may include assembling presentations coordinating vendors/subcontractors performing field walks from time to time and participating in meetings and presentations.
Assist in the overall daily office operations which include answering phones mailing scanning and distributing correspondence
Assist in the coordination of meetings in the office including presentations set up and break down.
Record and distribute meeting minutes as requested.
Participate with project teams and provide leadership in the assembly and presentation of special projects as assigned (i.e.: assembly of procedures documentation of workflows etc.)
Manage the office environment including ordering or making runs to supply and restock office equipment and other office needs.
Provide directions to the team as it relates to the efficient management of offices.
Coordinate with vendors and subcontractors as requested.
Coordinate meal orders for meetings as requested.
Cooperate with the Accounting team in the collection and presentation of financial reporting items (i.e.: American Express expenses etc.).
Coordinate with other company departments at events and meetings helping as needed.
Participate in the administrative management and organization of the warranty and customer service program.
Skills and Qualifications

Minimum high-school diploma preferably higher education.
Minimum three to five years in a similar capacity.
Experience working both independently and in a team-oriented collaborative environment.
Experience working in an environment with shifting priorities demands and timelines.
Computer literacy
Competency with Microsoft Office Suite: Excel Word PowerPoint.
Capable of working with remote teams via teleconference and online meetings.
Ability to listen and respond to multiple players providing feedback and recommendations as required to meet office and project needs most effectively.
Capable of working at length in an office environment with heavy computer use.
Capable of soliciting feedback from multiple project participants and following directions.
Must be professional and maintain the ability to communicate at different levels in verbal and written form.
Must conduct business in a professional and ethical manner with all team members external business associates and coworkers to reinforce goodwill and profitability for the company.
Positive attitude professional demeanor and exceptional communication and interpersonal skills to deliver service to guests members and team members.
Must possess high level of confidentiality and discretion
Education and Experience
High School Diploma or higher education preferred
2-5 Years Related Experience
Physical Demands & Working Conditions
