POSITION DESCRIPTION:Assists the District Office Administrators in matters essential to the efficiency and integrity of the District Office and its operational mission.
PERFORMANCE RESPONSIBILITIES:
- Provides administrative support to the District Office Administrators.
- Greets visitors to the District Office and directs them to the appropriate administrator or staff member.
- Completes all Department of Education reports and memos as directed by administrators.
- Produces documents letters reports and memos as directed by administrators.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews.
- Screens calls to the District Administrators re-routing them to the appropriate individual or department when necessary.
- Prepares purchase orders in accordance with established protocols and as directed by the District Administrators.
- Prepares publicity materials for public events as directed by the District Administrators.
- Maintains an efficient recordkeeping system and maintains records in accordance with applicable laws.
- Orders all office supplies as needed.
- Insures that parents teachers students and the general public have been assisted in receiving answers to their inquiries.
- Maintains the District Administrators social media presence in accordance with established protocols and standards.
- Works with the Director of Diversity Equity and Inclusion to ensure that all communications are ADA-compliant and reflect the rich diversity of the communities we serve.
- Maintains confidentiality of the office.
- All other duties as assigned by the Superintendent or designee.
QUALIFICATIONS:
- Associate Degree or higher;
- Prior experience as an executive assistant or administrative assistant to senior level executives strongly preferred.
- Excellent written and verbal communication across multiple media including social media and strong customer service skills.
- Excellent organizational skills and ability to work independently with minimal supervision.
- Demonstrated ability to work in a fast-paced and dynamic office.
- Advanced knowledge of computer applications and office procedures and ability to adapt quickly to changes in technology.
- Proficiency in French Spanish Haitian Creole Cape Verdean Creole or Portuguese a plus.
- Such alternatives to the above qualifications as the Superintendent may find appropriate and acceptable.
