Job Summary: The Administrative Assistant reports to the Vice President of Airport Capital Development or the Vice President of New Horizon. Performs administrative duties related to organization and communication to support the Engineering department and to ensure efficient operations of the office.
Essential Job Responsibilities:
- Performs all administrative support activities within department.
- Manages the VP Airport Capital Development or VP New Horizon Day calendar including making appointments and prioritizing the most sensitive matters.
- Answers and directs phone calls in a professional manner.
- Greets visitors and directs them in the right direction answers inquiries and creates a welcoming environment.
- Receives sorts and distributes mail.
- Organizes meetings including scheduling sending reminders and organizing catering when necessary.
- Uses various software including word processing spreadsheets and presentation software to prepare reports and/or special projects.
- Prepares staff reports and participates in staff meetings.
- Develops and maintains filing system for department.
- Handles sensitive information in a confidential manner.
- Orders and maintains office supplies for department.
- Organizes travel arrangements and creates trip itineraries
- Receives invoices reviews for accuracy and submits for payment.
- Procures items and services for the department tracks records in adherence with procurement procedures and processes.
- Suggests changes in office task workflow to improve efficiency.
- Assists in preparing presentations and materials.
- Coordinates the repairs and maintenance of office equipment.
- Interprets policies rules and regulations as required.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Serves as point of contact for outside consultants contractors and vendors.
- Maintains records and documentation for audits related to Engineering purchase card (p-card transactions).
- Ensures vehicle fleet is scheduled for maintenance and reported on a monthly basis as well as quarterly emissions inspections.
- Assists with creating and monitoring the departmental budget and researching quarterly variances.
