Job Description

Student Events Coordinator
JOB SUMMARY
The Student Events Coordinator is responsible for designing coordinating and executing events and activities for ACHE students. This position works closely with students faculty/staff and external vendors to organize and implement events including Commencement Orientations Match Day/Draft Day Friendsgiving White Coat Chili Cook-Off and other annual student programming. This position will also collaborate with all ACHE programs to help guide and support programmatic events. Occasional weekend and evenings are required.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Develop event timelines budgets and resource plans ensuring adherence to college policies and regulations.
  • Coordinate logistics including venue selection catering equipment rental transportation and accommodation arrangements.
  • Communicate effectively with all stakeholders to ensure alignment on event objectives expectations and requirements.
  • Develop comprehensive marketing plans to promote events through various channels including social media email newsletters posters and campus announcements.
  • Create engaging content such as event descriptions flyers and promotional materials to attract participants and generate excitement.
  • Liaise with the colleges marketing and communications team to leverage their expertise and resources for event promotion.
  • Identify and negotiate contracts with external vendors performers and service providers to support event needs within budget constraints.
  • Cultivate relationships with local businesses sponsors and donors to secure sponsorships in-kind donations and financial support for events.
  • Ensure timely payment processing and adherence to contractual agreements with vendors and sponsors.
  • Conduct risk assessments and develop contingency plans to mitigate potential issues such as safety hazards inclement weather or logistical challenges.
  • Ensure compliance with college policies regulations and legal requirements related to event management including permits licenses and insurance coverage.
  • Gather feedback from participants stakeholders and partners to assess the effectiveness of events and identify areas for improvement.
  • Analyze event metrics such as attendance rates participant satisfaction and budget performance to inform future planning and decision-making.
  • Prepare post-event reports and evaluations for college administration highlighting successes challenges and recommendations for enhancements.
  • Other duties as assigned by the manager or their designee.
QUALIFICATIONS AND CREDENTIALS
Education and Experience
Minimum Qualifications
  • Bachelors degree or equivalent experience.
Preferred Qualifications
  • Bachelors degree.
  • Experience in higher education setting.
  • Experience in student activities marketing public relations event planning or other related higher education field.
  • Previous student activities experience at a health professions college or medical school.
  • Experience with presentations events and exemplary customer service.
Required knowledge skills and abilities
  • Ability to work with diverse student body.
  • Valid U.S. drivers license and proof of insurance required.
  • Ability to prepare and present information to small and large groups.
  • Ability to handle multiple tasks simultaneously and to work in a high-volume fast-paced goal-oriented atmosphere both independently and as part of a unified team.
  • Excellent interpersonal skills.
  • Experience with Microsoft Office products including Access Excel Word PowerPoint and Outlook.
  • Demonstrated ability to maintain confidentiality.

  • May be required to accomplish job duties using various types of equipment/supplies to include but not limited to pens pencils calculators computer keyboards telephone etc.
  • May be required to transport oneself to other campus offices conference rooms and on occasion to off-campus sites to attend meetings conferences workshops seminars etc.
  • May require significant travel or work away from campus.
  • Requires attendance at events representing ACHE both within and outside of the College setting.
  • Frequently required to work at a desk conference table or in meetings of various configurations.
  • Frequently required to see for purposes of reading matter.
  • Frequently required to hear and understand speech at normal levels.
  • Occasionally required to lift items in a normal office environment.
  • Frequently required to operate office and presentation equipment.
