Job Description:
Under general supervision provides high-level administrative support for UTMC executive administration. Works independently with the UTMC Chief Financial Officer (CFO) and Chief Operating Officer (COO). The Executive Assistant also is responsible for providing high-quality cost-effective management of key UTMC administrative support functions and ensures that priorities and directives are met.
Minimum Qualifications:
Ability to perform multiple tasks at any given time
Ability to work independently managing multiple projects and be self-motivated
Exhibit integrity and flexibility with appreciation for punctuality regular attendance and dependability
Ability to write legibly speak articulately and follow directions accurately
Must be able to maintain a high degree of confidentiality and handle confidential matters with discretion
Ability to analyze assess and evaluate information; possess excellent analytical and problem-solving skills
Must be able to understand and comply with policies and procedures
Ability to work collaboratively with a high-performance team of professionals in partnership toward common objectives
Medical terminology experience/knowledge helpful
Demonstrated commitment to customer service
Ability to work with a diverse group of people at all levels of the organization
Excellent written verbal and culturally appropriate communication skills
Ability to develop and maintain professional service-oriented working relationships with patients families physicians nurses co-workers supervisors and others; ability to appropriate diffuse and handle confrontation.
Preferred Qualifications:
Bachelors Degree in Business Management Secretarial Sciences or related field required or equivalent relevant experience.
3-5 years progressively responsible administrative assistant experience for an executive or upper-level management position or other documentable leadership training
5 years of office management experience preferred
Ability to work independently and be self-motivated

Advanced Microsoft Office Suite skills (Word Excel PowerPoint Visio); Photoshop Illustrator Publisher helpful
Experience with WebEx Microsoft Teams or like video conferencing software including on-screen sharing documents
Excellent knowledge of and ability to use/navigate and search the Internet
Demonstrated commitment to customer service
Ability to work with a diverse group of people at all levels of the organization
Experience with travel arrangements/reimbursements
Experience setting up meeting rooms including coordinating AV needs and printed materials
