Role Summary:
The Project Expediter is an administrative role that supports the planning scheduling monitoring and executing of energy efficiency projects. The Project Expediter works closely with the project manager and project team to ensure accurate and timely comprehensive documentation of project information ensuring that the job site has an adequate and timely flow of materials equipment and subcontractor labor and to assist in the planning of tasks. Construction former project management or technical experience is not required.
Job Responsibilities:
Support project manager with creation/organization of project documentation throughout all phases. Project documentation includes
Writing and issuing purchase orders to material suppliers and subcontractors
Receiving signed purchase orders and filing them in online storage
Ensuring vendor paperwork is up to date
Creating job progress documents through Google Sheets
Compile and submit rebate paperwork
Downloading rebate applications online
Filling out basic project information in the rebate form
Working with the project manager or project developer to fill in technical data
Compiling PDF data sheets into one document and submitting
Create purchase orders to order/track materials required for the project
Price shopping material orders with the project manager
Issuing a purchase order through project management software
Following up with the vendor for updated shipping and tracking info
Notifying the customer and installers of updated ship dates
Coordinate and expedite the delivery of supplies and material to job sites
Working with the onsite foreman to ensure materials have been received
Ordering additional material as required
Coordinating returns and pickups
Coordinating recycling pickup of original fixtures on site
Maintain relationships with suppliers and vendors
Responsible for ensuring master service agreements are signed and filed
Verify that Certificates of Insurance are on hand and up to date
Communicate daily with internal stakeholders
Phone calls with onsite installers
Email correspondence with sales and project developers
Virtual meetings with the project manager
