SUMMARY

Under general direction of the Court Adminstrator or Lead Judicial Assistant as designated performs a variety of routine clerical duties as needed to maintain records reports accounts and files of the court. Includes public support and cashiering related to activities of the Justice Court.

ESSENTIAL DUTIES

  • Greet the public over the counter and on the phone; respond to questions related to judicial services and functions including cases bail warrants payments and appointments.
  • Open review and distribute mail for the Justice Court.
  • Perform cashier functions: accept post process and verify payments credits and other financial transactions.
  • Operate computer terminal; input and retrieve information related to statistics records reports accounts and services.
  • Maintain court dockets and associated papers; post official entries reflecting pertinent facts financial records and judgments related to disposition of each court case; maintain a suspense file on all pending court cases including financial matters related thereto.
  • Assist with scheduling arraignments pre-trial and other pre-/post- judgment hearings as well as jury and non-jury trials; prepare and maintain the court calendars of these events keeping the Judge advised of all court schedules and delinquent cases.
  • Help with coordinating and tracking community service ordered by the Judge e.g. facilitate community service work with City departments as requested.
  • Communicate with agencies associated with criminal justice system such as Police Department warrants division bail bondsmen prosecuting attorney offices probate counselors public defenders adult probation Justice Court and City offices as directed.
  • Prepare assemble and check materials for each court session; route case files and notices according to required procedures.
  • Arrange prisoner transportation to and from court as requested.
  • Follow-up on subsequent court sessions; aid in the issuance of judicial orders; post information generated during court sessions to case files; prepare and route certified copies.
  • Issue stay dates and recall bench warrants: pick-up orders and commitment orders; process expungements; release and enter information pleadings motions summons subpoenas judgments and orders made by the Court.
  • Maintain tickler files to monitor when payments are due end of six-month probation and other information.
  • Attend yearly Court Clerk trainings through the Administrative Office of Courts.
  • Perform other related duties and responsibilities as assigned.

MINIMUM QUALIFICATIONS

Education: High school diploma or GED.

Experience:

JUDICIAL ASSISTANT I - Two years of administrative support experience involving public contact answering phones electronic filing and cashiering.

JUDICIAL ASSISTANT II - Two years of as a Judicial Assistant I.

JUDICIAL ASSISTANT III - Two years as a Judicial Assistant II including one year in a front office position and one year of experience in court.

Certifications/Licenses:

  • Valid Utah Drivers License
  • Ability to obtain BCI certification within 6-months of employment in the position.
  • Ability to obtain Court Clerk certification through Administrative Office of Courts within one year of employment in the position.

KNOWLEDGE SKILLS AND ABILITIES

Knowledge of:

  • Electronic filing systems.
  • Principles and practices of data collection and report preparation.
  • Principles and techniques used in dealing with the public.
  • English usage spelling vocabulary grammar and punctuation.
  • Modern office methods procedures and equipment including computer software programs and applications.

Skill with:

  • Operating office equipment including computers and software.
  • Entering data at a speed necessary for successful job performance.

Ability to:

  • Learn Legal terminology and the forms and documents used in legal clerical and technical work.
  • Learn the procedures and functions of the assigned position.
  • Learn the operations services and activities of the Justice Court system.
  • Learn to interpret apply explain and ensure compliance with the policies procedures laws codes and regulations pertaining to Justice Court programs and functions
  • Understand the organization and operation of the Justice Court necessary to assume assigned responsibilities.
  • Prepare and maintain accurate and complete records documents and legal materials.
  • Respond to requests and inquiries from the public.
  • Meet and deal tactfully and effectively with the public.
  • Maintain confidentiality of sensitive information.
  • Plan and organize work to meet schedules and deadlines.
  • Exercise good judgment flexibility creativity and sensitivity in response to changing situations and needs.
  • Communicate clearly and concisely both orally and in writing.
  • Establish maintain and foster positive and harmonious working relationships with those contacted in the course of work.

WORKING CONDITIONS AND PHYSICAL DEMANDS

Work in a standard office environment which includes reaching bending sitting standing talking hearing and listening.
