General Description
The Assistant to the Deputy Director & Project Coordinator serves as a member of the schools administrative support team. The role requires the person to support the implementation of key strategic objectives coordinate priorities and manage schoolwide addition they perform a variety of administrative tasks for members of the senior leadership team and serve as a liaison between students staff and parents. The Assistant to the Deputy Director reports to the Deputy Director.
This is a parttime role (90%) to cover a 3 months maternity leave (from August 2025 until October 2025). There may be an opportunity for the successful candidate to transition into a supporting role within our Admissions and Advancement Team.
The Assistant to the Deputy Director & Project Coordinator is expected to:
Project management
- Coordinate schoolwide benchmark assessment programs (e.g. NWEA MAP Growth ALIS etc.)
- Manage ongoing school accreditation studies and updates
- Compile data from a variety of sources to support organisational accountability and learning
- Manage projects as assigned within a yearly cadence aligned with strategic objectives
- Support the Deputy Directors communication and objectives
- Manage the professional learning database
Scheduling and coordination for Deputy Director
- Be the primary point of contact for external queries and engagement
- Respond to a wide variety of internal inquiries providing information and/or referring them to appropriate personnel
- Manage weekly schedule and organise meeting logistics as needed (e.g. conference spaces food/beverage resources etc)
- Lead logistical planning for wholeschool timebound events such as professional development orientation days speakers and consultants
- Coordinate external commitments travel and accommodation
- Coordinate the Music Academys semester calendars and teachers lesson timetables
Budget Management
- Collate and reconcile budget sections assigned to the Deputy Director
- Manage personal professional learning accounts
- Update the Music Academys rates and collect necessary data for invoicing purposes. Responsible for the recordkeeping of student lessons pertaining to invoicing
- Submit monthly timesheets and manage salary approvals for theMusic Academy Programme
Database and School Technology Administration Management
- Responsible for Managebacs yearly Academic rollover support with schoolwide curriculum updates and creation and assignment of for teachers and student accounts.
- Serves as a member of the Data Protection Team. Assist schoolwide objectives and support with complying with all Swiss and necessary International data protection laws.
Front Office Support
- Support the Front Office team members with items when required.
Required and Preferred Qualifications
- Excellent verbal and written communication skills in English. German is an added value.
- Strong interpersonal skills and ability to communicate with a wide variety of people at all levels
- Exceptional telephone etiquette
- Proficiency in using standard office suites for business such as Microsoft Office and Google Workspace and demonstrated knowledge of database maintenance
- Effective clerical organisational and time management skills
- Able to maintain confidentiality at all times
- Quick learner able to use appropriate initiative resourceful reliable and detailoriented
- Eager to take on new challenges and lend a helping hand
- Able to manage a variety of tasks concurrently and efficiently
- Successful experience in working effectively as part of a team
- Able to be selfdirected and work with minimal supervision
