POSITION DESCRIPTION:
The Print & Copy Services Department is a service department established for the purpose of providing inexpensive printing copy and bindery services to the SOU campus community. The purpose of this clerical position is to provide support for the working unit by efficient management of the front office assisting faculty staff and students as requested with their printing/copy needs maintain accurate and current account for each department and bill accordingly using a PC compatible computer and various bindery and finishing machines as needed by the department.
Minimum Requirements
- Two years of experience in the operation and maintenance of high-speed industrial copiers and related equipment typically found in a small press or copy center of a printing plant.
- Familiarity with associated software and file transfer networks.
Preferred Requirements
- Prior experience in the printing industry.
- Prior experience using Adobe Photoshop and InDesign.
- Two years of general clerical experience. One year of which included typing word processing or other experience generating documents; OR An Associates degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
Essential Functions
Duties - The following examples are typical work activities that are meant to illustrate the general range of work functions and are not meant to be all-inclusive or restrictive:
(15%) Duties Include:
- Complete work orders input data into database program.
- Maintain hard copy disk and hard drive files of all the above.
- Provide support to the campus community who need to track their Duplicating Services expenditures in FIS.
(35%) Duties Include:
- Composes and processes office correspondence typeset requests (business cards letterhead envelopes etc. on Mac or PC) and paper inventory in database management of archived files monitor and order supplies for operation of front office and copy machines.
- Assists supervisor with establishing and updating office procedures updates office manual as needed participates in preparing budget projections for the biennium for personal services services and supplies and program budgets.
- Use Adobe Photoshop and InDesign to fix issues with submitted print jobs.
(30%) Duties Include:
- Operate and handle minor maintenance of Xerox J75 Xerox D110 Xante Ilumina Envelope Press. Run digital connectivity Jobs via PC and Mac as well as laser printers automatic paper cutter coil spiral and heat bindery equipment. driller electric stapler jogger creaser etc. and monitoring for high level of quality control and time efficiency.
- Prioritize jobs with consideration to due dates and workloads.
- Handle test materials documents and other confidential materials in a manner as to keep secured.
- Train and supervise student employees in production and front office skills.
(20%) Duties Include:
- Assist campus community daily (faculty staff students) with work to be copied or printed supply requested information over the telephone and by email generate price quotes assist campus community members with the self serve machines assist in supervising and assigning the student employees.
- Explain to customers (faculty staff students) criteria for pricing job time lines and procedures.
- Assist customers when they have questions or concerns regarding billing and FIS.
- Frequent contact with vendor technicians concerning maintenance of copy machines and ordering machine materials/supplies.
- Other duties as assigned.

Physical Demands
- Normal office activities such as sitting/standing at a desk using a computer answering phones and communicating in person both in writing and via phone with others.
- Print & Copy Services can be very noisy due to all the machines there are constant interruptions and are under pressure to complete jobs on time as well as close the books and prepare frequent billing and monthly report deadlines. Often times its a stressful environment with customers that are under time/workload pressures.
- Ability to move/transport 50 pounds on a regular basis.
Special Conditions
- Must be willing to travel and attend training programs off-site for occasional professional development.
- Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
- Must be able to successfully pass a pre-employment background check.
- This position classification has been defined as non-exempt and is subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
