DescriptionThe Management Assistant plays a vital role in ensuring organizational effectiveness efficiency and a smooth office environment. This position provides comprehensive administrative support to local management internal customers and visitors acting as the single point of contact for travel events organization office supply orders and workplace coordination. In This Role Your Responsibilities Will Be:
- Organize operational meetings and events inside and outside the campus.
- Record and distribute meeting minutes.
- Collaborate with the management team to draft compile and revise presentations for various meetings.
- Distribute materials and manage employee communications.
- Prepare and handle a variety of business documents (e.g. letters of invitation contracts invoices warranty letters).
- Organize coffee breaks lunches and dinners upon request.
- Support different programs and projects within the organization or campus.
- Provide employees with information templates and useful resources.
- Manage office and open space occupancy.
- Receive sort and distribute correspondence across the organization.
- Issue AWBs and maintain contact with shipping companies for parcels.
- Place and distribute orders for office kitchen and promotional supplies.
- Report and coordinate issues related to working space/buildings.
- Support employees with travel arrangements including bookings transfers and documentation.
- Organize travel and calendar management for leadership.
- Support administrative processes for expats.
- Act as a link between Business Units and the Cluj organization participating in meetings managing projects and supporting diverse initiatives.

For This Role You Will Need:
- Bachelors or Masters degree.
- Proven experience as an administrative assistant or in a similar administrative role.
- Fluency in English (verbal reading and writing).
- Proficiency in MS Office and ability to learn new software applications.
- Strong organizational skills and ability to handle multiple priorities.
- Excellent time management and attention to detail.
- High degree of professionalism diplomacy and cultural sensitivity.
- Ability to operate independently and manage stressful situations.
- Experience working in a multicultural or corporate environment.
Preferred Qualifications That Set You Apart:
- Strong problem-solving approach and proactive attitude.
- Experience in event planning and project coordination.
