In our Operations department we ensure the seamless execution of KR Wolfes projects by managing critical functions such as inventory shipping logistics fleet technology facilities and vendor coordination. Our team equips field staff with the tools equipment and resources needed to deliver exceptional service supporting the companys mission to create exceptional project outcomes.
Position Summary:
The Equipment and Provisioning Coordinator is a vital administrative role responsible for ensuring KR Wolfes field teams are fully equipped to execute their roles effectively. Reporting to the Operations Manager who oversees Fleet Inventory Technology Insurance Travel Vendor Management Shipping Facilities and Logistics this role focuses on preparing and managing kits for new hires including tools equipment uniforms laptops and cell phones. The Coordinator collaborates with HR and the Procurement Manager to anticipate needs utilize inventory facilitate returns from exiting employees and oversee tool maintenance replacements and calibrations. Success is measured by seamless provisioning accurate inventory tracking and proactive issue resolution ensuring operational efficiency and team readiness aligned with KR Wolfes SPIRIT and QUEST values.
Key Responsibilities:
1. Coordinate New Hire Provisioning
Assemble and distribute comprehensive kits for new hires including specialized tools equipment uniforms laptops and cell phones ensuring timely delivery to support onboarding timelines.
Partner with HR to align provisioning with hiring schedules and project-specific requirements for field technicians and project managers in healthcare renovation projects.
Verify kit contents meet job-specific standards ensuring all provisions are functional and ready for immediate use in the field.
2. Inventory and Equipment Tracking
Maintain accurate inventory records in company systems (e.g. QuickBase) proactively identifying and reporting shortages or issues to the Procurement Manager to ensure continuous supply.
Track the allocation and condition of tools equipment and technology assigned to employees ensuring all field teams have up-to-date resources.
Conduct regular inventory audits at the Phoenix office to maintain accuracy and readiness for distribution aligning with operational demands.
3. Oversee Equipment Returns and Maintenance
Facilitate the return of tools equipment and technology from exiting employees inspecting items logging returns and reintegrating or flagging them for repair or replacement.
Coordinate with vendors for periodic calibration repair or replacement of specialized tools and equipment used in healthcare renovation projects minimizing downtime for field teams.
Streamline processes for replacing damaged or outdated provisions ensuring quick turnaround to maintain team productivity.
4. Enhance Operational Efficiency and Collaboration
Collaborate with the Purchasing/Procurement Manager to source cost-effective inventory ensuring timely restocking to meet project needs.
Work with the Shipping and Logistics team to facilitate efficient distribution of kits and equipment from the Phoenix office to field teams nationwide.
Maintain clear communication with the Operations Manager to align provisioning activities with broader operational goals embodying SPIRIT through positive collaborative teamwork.
Ensure all provisioning and inventory activities adhere to company standards and values like Quality and Exceptional Service maintaining accurate records for compliance.
Qualifications:
Education: Associates or Bachelors degree in Business Administration Supply Chain Management or related field preferred; high school diploma with equivalent experience accepted.
Experience: 2-4 years in administrative inventory management or procurement roles preferably in construction healthcare or technical service industries.
Technical Proficiency: Proficiency in inventory management systems (e.g. QuickBase) Microsoft Office Suite and basic procurement processes. Familiarity with construction tools or equipment.
Organizational Skills: Strong ability to manage multiple tasks track assets and maintain accurate records under tight deadlines.
Interpersonal Skills: Excellent communication and collaboration skills to work with HR procurement and operations teams aligning with SPIRIT and QUEST values.
Personal Attributes: Detail-oriented proactive and adaptable; ability to problem-solve and maintain positivity in a fast-paced environment; commitment to Trust & Integrity and Exceptional Service.
Other: Must work onsite at the Phoenix Arizona office; occasional local travel for vendor or facility coordination may be required.
Preferred Skills:
Experience in inventory or provisioning roles within construction or healthcare renovation sectors.
Familiarity with managing specialized equipment or tools used in technical installations.
