Job Description

Rental & Logistics Coordinator Full Time
Were looking for a Rental & Logistics Coordinator to join our team and support the daily operations of our Rental Department. This role is ideal for someone who is organized detail-oriented and enjoys working in a fast-paced environment while balancing customer service and logistics.
About the Role
As a Rental & Logistics Coordinator youll be the first point of contact for many customer rental requests. Youll gather details for quotes prepare rental contracts track equipment locations and coordinate deliveries and pickups. Youll also play a key role in planning and dispatching daily shipments ensuring efficient scheduling and maintaining strong communication with customers drivers and internal departments.
Key Responsibilities
  • Answer customer calls and gather rental information
  • Prepare and update rental contracts and dispatch documents (equipment transfer orders driver paperwork)
  • Plan and coordinate daily equipment shipments
  • Collect and organize transportation requests from departments and create efficient delivery schedules
  • Supervise flatbed shipments (JIT flatbeds sublet trucking 3rd-party trucking companies)
  • Track and update rental equipment inventory
  • Communicate with customers regarding freight details delivery/pickup times and special handling requests
  • Maintain strong communication with all parties to minimize surprises and manage expectations
  • Coordinate deliveries pickups and transfers across teams
  • Monitor internal repair costs and request service quotes
  • Track shipment requests using systems like ELC Toyota Connect bar codes and Trello
  • Compile weekly and monthly reports
  • Assist with marketing projects and office efficiency initiatives
What Were Looking For
  • 3 years of related experience preferred
  • High school diploma or GED required
  • Strong communication and organizational skills
  • Ability to multitask and handle interruptions
  • Professional friendly and customer-focused attitude
  • Basic computer skills; quick to learn new systems
