Operations Support Coordinator

Job Description Summary

The Operations Support Manager is responsible for providing operational instructional and technical support and leadership for the proper adoption and deployment of C&W Services automated business processes.

Work scope includes supporting account activations and demobilizations management & supervisory staff business process training and continuous improvement and compliance programs for field business processes. This role is critical to ensuring that regional business processes are aligned to the C&W Services business automation framework and is compliant with applicable SOX audit rules. It is the business process and automation tools subject matter expert (SME).

Responsibilities/Tasks/Duties

  • Pay: $38hr.
  • Oversee the administrative business process functionality - create optimize and/or automate where efficiencies are identified. Ensure regional compliance with C&W Services technology and business process infrastructure. Scope of business processes supported include: Vroozi Vendor Management (VM) Work Order Management (WOM) Salesforce Microsoft Office Business tools (Skype Teams Outlook) Workday/Employee and Organizational data Kronos/Timekeeping MyAP Utrac2.
  • Responsible for ensuring that the Operations Support team is fully knowledgeable and is positioned to be a source of information and training for line management; as well as being able to provide direct transactional assistance in the companys business automation tools and processes.
  • Responsible for ensuring new management is provided the appropriate access and is trained on the business automation tools C&W Services uses (examples listed above). May train directly or will secure the appropriate subject matter expert to provide training.
  • Assists management teams with the execution of transactions within the required business automation tools.
  • Provide office management leadership where situated in C&W Services managed office setting.
  • Provide general administrative support to assigned leadership group. Leads new project initiatives through the Operations Support team.
  • Assist hiring managers or local operators with coordination of employee hiring/onboarding/training events such as: background checks completion of the Form I-9 and provisioning of corporate assets (systems access cell phones laptops and vehicles) for either home office or site administrative operations. Works in coordination with relevant functional partners (such as Human Resources Safety).
  • Manages and communicates the C&W Services information handling processes and procedures.
  • Supports the operational leadership with the collection compilation and analysis of account information for client consumption for periodic business reviews or ad hoc requests. May prepare client facing presentation materials.
  • Conduct administrative assessments at regional and site level units and make recommendations for improvements. Audit for compliance in critical processes (i.e. background checks purchase orders).
  • Oversees the daily/weekly transactional activities associated with Workday and Kronos. Ensures transactions are accurate approved and executed in a timely fashion. Reviews payroll time records for missed punches paid time off and approvals when appropriate.
  • Special projects and related duties as assigned.

Requirements

  • Must possess demonstrated leadership and influencing skills.
  • Demonstrated ability to lead others and provide excellent employee management practices such as career development and performance management for direct reports.
  • Must be able to work independent and exercise independent judgment.
  • Software proficiency in MS Office (Excel Project Word Visio) and report writing applications. Must demonstrate an ability to learn and teach various business automation tools. (direct experience with Kronos Workday JDE financial systems are assets).
  • Well presented highly organized and task focused combined with outstanding communication and interpersonal skills.
  • Demonstrated ability to prioritize plan and manage a varied workload.
  • Strong numeracy skills with an ability to understand basic financial documents.
  • Technologically savvy with the ability to troubleshoot basic problems with devices such as timeclocks smart phones laptops and tablets.
  • Ability to recognize document and optimize business processes.
  • Must have exceptional customer service and conflict resolution skills.
  • Effective written and verbal communication skills.
