Job Summary

Location: Downtown Cleveland

Work Arrangement: Mostly on-site. Remote option available on Fridays

Due to growth this is a new addition to a great this role you will provide comprehensive administrative financial support primarily focusing on the billing processes within a professional services environment. Your contribution will be vital in ensuring efficient financial operations and client satisfaction.

Key Responsibilities:

  • Review and activate client accounts ensuring all New Account Memoranda are complete and accurate.
  • Prepare review and edit pre-bills for billing attorneys ensuring accuracy and compliance with billing instructions.
  • Coordinate multiple billing memoranda for the preparation of combined invoices.
  • Draft and format client bills and e-bills incorporating attorney edits and approvals.
  • Investigate and resolve client inquiries related to billing collaborating with billing partners as needed.
  • Enter and update information in the accounting system ensuring all transactions are recorded accurately.
  • Present finalized bills to clients upon request from supervising attorneys.
  • Communicate with clients regarding overdue bills or billing concerns as directed by supervising attorneys.
  • Utilize the firms accounting system and other technical resources to enhance efficiency.
  • Manage electronic documents for seamless retrieval and support the finance team in overflow and coverage tasks.

Qualifications:

  • Associates Degree or equivalent from a two-year college or technical school.
  • 1-3 years of related experience in a professional services environment; experience in a law firm is advantageous.
  • Proficient in a recognized accounting system and Microsoft Office products particularly Excel and Word.
  • Experience with legal accounting/billing software is highly desirable.
  • Excellent customer service and communication skills.
  • Ability to prioritize tasks plan activities efficiently and manage time effectively.
