We are seeking a dedicated Adult Protective Services Administrative Specialist (Administrative Specialist 1) to join our dedicated Aging and People with Disabilities Program (APD) team in Oregon City.

Summary of Duties
As an Adult Protective Services Administrative Specialist you will:
Provide administrative support and back-up to the Oregon City Administrative team.
Update and maintain relevant databases with accurate information.
Answer incoming calls and direct inquires appropriately.
Process incoming and outgoing mail efficiently.
Cover front desk reception duties as needed.
Maintain and organize investigative files to ensure confidentiality and accessibility.
Assist Adult Protective Service Investigators with investigation logistics information and organization
Provide resource materials and information to Oregonians and community partners who inquire about APS or that may be victims of abuse.
Coordinate Logistics for meetings interviews and unit functions.
Gather and maintain unit performance metrics workload measurements and tracking resources.
Assist with ordering and purchasing office equipment supplies and forms.
Support investigators by managing office supply and brochures maintaining resource and contract lists and updating informational materials.
Confirm product delivery against purchase invoices.
Stock and organize supplies forms and brochures on shelves and in the office lobby.
Minimum Qualifications
Two years of secretarial or basic administrative support experience that includes records processing generating documents and gathering and sorting data; OR
An associate degree in general office occupations and one year of experience with records processing generating documents and gathering and sorting data; OR
An equivalent combination of education and experience.
Essential Attributes
We are looking for candidates with:
Experience with handling detailed administrative tasks record maintenance and data entry management.
Experience with directing inquiries from persons needing social services or experiencing crisis with professionalism and efficiency.
Experience in utilizing standard office equipment and computer systems including Windows-based PCs multi-line phone systems copy and scanning machines Microsoft Office Suite and various database programs to support efficient administrative operations.
Experience in organizing and prioritizing document workflows and managing assignment schedules to support efficient team operations.
Experience with quality assurance systems and processes including organizing and managing data to ensure accuracy compliance and continuous improvement across operational workflows.
Experience with capturing notes from meetings and discussions involving staff and community partners ensuring accurate documentation.
Experience with supporting investigative legal or law enforcement teams by providing timely documentation scheduling assistance and administrative coordination to enhance case management and service delivery.
Experience maintaining confidentiality by adhering to agency policies safeguarding sensitive client information and ensuring secure handling of records in compliance with privacy regulations.
Experience in identifying and solving administrative issues by recognizing problems finding solutions and improving processes for efficiency.

Working Conditions
Work Locations: Offices and community sites.
Travel: Travel may be required to meet business needs or to attend employee training classes.
Hours: Regular work week with fluctuating hours; occasional overtime may be needed including evenings and weekends.
This role involves handling sensitive topics related to trauma abuse and crises requiring a trauma-informed approach that is essential to ensure a safe environment.
You may interact with individuals who have experienced trauma and may have difficulty managing their emotions.

The Oregon Department of Human Services does not offer visa sponsorship.
