Job Description

Under the direction of the Reservations & Revenue Manager the Group Coordinator will serve as the primary point of contact for all matters related to group room addition to managing group bookings the Group Coordinator is expected to be proficient in handling both leisure and business transient guest room reservations.

Role and Responsibilities

  • Serve as the primary contact for managing group reservations including entering rooming
  • lists preparing group resumes setting up billing arrangements preparing commission/attrition reports leading pre-conference meetings etc.
  • Handle inbound reservation calls both transient and group reservations respond to guest inquiries and appropriately transfer calls to other departments as needed.
  • Process new reservations modifications and cancellations; respond to reservation requests received via email; and correspond with guests via phone and email.
  • Prepare and maintain reservation and revenue-related reports with accuracy and timeliness.
  • Coordinate closely with the Sales Catering and Front Office teams regarding group bookings and room block management.
  • Audit future reservations across all internal and external booking channels to ensure accuracy and availability.
  • Responsible to complete transient and group checklists as scheduled.
  • Apply effective selling techniques and strategies to maximize room revenue and occupancy.
  • Keep the Reservations & Revenue Manager informed of noticeable market trends and stay updated on room inventory across third-party platforms.
  • Maintain thorough knowledge of the propertys room types packages and promotions to provide accurate information to guests.
  • Assist in training associates on reservation procedures and standards.
  • Provide support to other departments and perform additional duties as assigned by department heads.

Qualifications

  • Previous experience in hotel reservations particularly group reservations is preferred.
  • Candidates with a diploma or degree from a recognized post-secondary institution in
  • hospitality or a related field will be given priority consideration.
  • Must possess excellent verbal and written communication skills with the ability to interact
  • professionally and courteously with guests at all levels.
  • A pleasant telephone manner strong organizational and problem-solving abilities and a high
  • level of attention to detail are essential.
  • Proficiency in Opera Cloud is mandatory; experience with Reserve and Envision systems is also required.
  • Must be flexible with work shifts and confident in working with a diverse range of personalities in a dynamic environment.
