This is a full-time position in the Houston Texas area with competitive pay full benefits. The QA Administrator working with the QA Manager and Quality team would provide administrative assistance and documentation skills to the QA Department.
Apave America Inc. is seeking a detail-oriented and adaptable Quality Administrator to support our quality program operations. This role is responsible for document control record management and administrative execution across quality-related functions including technician qualification tracking compliance documentation and continuous improvement support. The ideal candidate brings strong organizational skills critical thinking and a high level of integrity to a fast-paced cross-functional environment.
Key Responsibilities:
Documentation & Recordkeeping
- Maintain organized and traceable quality records in accordance with internal procedures and ISO 9001 requirements.
- Track and verify technician qualification and certification records ensuring compliance with governing Written Practices.
- Support document control processes including updates formatting and storage.
Inquiry Support & Communication
- Respond to quality-related inquiries and requests completing routine tasks locating
appropriate documentation and escalating to subject matter experts when needed.
- Assist in the preparation of documentation packages for audits client submittals and internal compliance needs.
- Maintain clear respectful and confidential communication across departments and levels.
System & Data Support
- Monitor digital platforms used for training records document control and audit tracking.
- Input and verify technician qualification and training data in LMS or tracking systems.
- Support quality-related metrics reporting through data gathering and record updates.
Collaboration & Problem Solving
- Work closely with the Quality Administration Manager to ensure alignment of documentation and administrative practices.
- Assist in continuous improvement efforts by documenting updates tracking action items and identifying potential system enhancements.
- Apply sound judgment to interpret incoming requests and resolve administrative issues efficiently.
Required Qualifications:
- Must be at least eighteen (18) years of age.
- Minimum of two (2) years of administrative experience in a technical compliance or operations support role.
- Strong attention to detail organization and time management.
- Excellent written and verbal communication skills.
- High level of discretion and professionalism in handling sensitive data.
- Demonstrated proficiency in digital systems (e.g. document management LMS platforms internal tracking tools).
Preferred Qualifications:
- Familiarity with ISO 9001 or other quality management systems.
- Experience working in NDT industrial services or similar regulated environments.
- Ability to interpret compliance documentation and support cross-functional teams.
Working Conditions:
- This role is primarily office-based with frequent virtual collaboration across remote and field teams.
- Standard working hours with occasional flexibility to support urgent requests or project timelines.
Physical & Mental Requirements:
- Ability to sit and use computer systems for extended periods.
- Ability to lift light office materials (up to 25 lbs).
- Strong analytical multitasking and critical thinking abilities.
