The University of Miami Health System UHealth Department of Pediatrics- Neonatology has an exciting opportunity for a Full-Time Project Manager to work in Miami.
The Project Manager oversees the planning implementation and tracking of a variety of projects to ensure the successful development completion and implementation of department projects and initiatives.
Core Responsibilities:
Defines the scope of projects in conjunction with leadership.
Discusses the objectives and measures upon which the project will be evaluated at its completion.
Determines the resources required to complete each project.
Establishes and documents comprehensive project plans and timelines which identify and sequences the activities needed to successfully complete projects.
Reviews project schedules with leadership and other staff that will be affected by the project activities.
Monitors the progress of the projects and makes adjustments to ensure successful completion.
Consults with the appropriate leadership on the selection of staff to assist with projects.
Assigns project task to the identified project team for handling.
Ensures all project personnel receive orientation that is appropriate to the project.
Manages project staff according to the established policies and practices of the organization.
Reviews the quality of work completed with the project team on a regular basis to ensure that work produced meets project standards.
Documents all project-related activities and ensures project files are maintained and secured accordingly.
Creates a communication schedule to update stakeholders including appropriate staff in the organization on the progress of projects.
Prepares presentations and presents status reports for leadership
Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
Ensures employees are trained on controls within the function and on University policy and procedures.
Department Specific Functions:
Project Manager oversees all aspects of the annual postgraduate conference for the University of Miami International Neonatology Conference. Must have excellent communication customer service inter-personal financial data management and organizational skills.
Design and create a program schedule for the annual announcement brochure. Regularly update the conference website accordingly.
Routinely create and send out email marketing blasts to potential conference attendees.
Work closely with IT to develop and roll out an interactive virtual platform that will simultaneously support interactive onsite and virtual conference participation.
Work closely with the webmaster to ensure that the conference vision is reflected on the website and in the virtual sponsored rooms available both onsite and on the virtual platform.
Meet with and oversee the roll out of the new registration and payment processing system.
Create mailing lists of potential United States and International attendees.
Prepare grant applications and Letters of Request for commercial support.
Conduct negotiations with hotels regarding contracts space logistics deliveries and food service for current and future conferences.
Address publicity for current and future conferences.
Conduct negotiations with Exhibitors and Sponsors regarding space donations and attendees.
Negotiate pricing and timetables with Vendors including printing audiovisual translation etc.
Complete annual applications for CME course credit approval for The University of Miamis CME office.
Submit the final report to the University of Miami CME Office including Geographic Distributions Attendance Report and Financial Income/Expenditure Report.
Reach out to and communicate with guest speakers and faculty. Assist with travel hotel accommodations parking and reimbursement arrangements.
Process travel reimbursements and honorariums.
Process all incoming registrations deposit checks and process credit cards.
Create and maintain up to date spreadsheets with complete fiscal records regarding all course income from registrations revenue and commercial support from sponsors and accurate expense reports.
Attend monthly meetings and update the team with accurate numbers status and progress.
Update the annual conference registration list.
Handle all correspondence phone communications and file registrations for the conference.
Assist Program Director as necessary.
Support and address the needs of guest faculty and moderators during the conference.
Assist industry sponsors with display layout and site organization.
Coordinate with hotel management and staff with regards to site layout audio visual requirements translators etc.
Address participant questions and concerns during the conference.
Coordinate volunteer staff and faculty participation.
Coordinate on-site process for registrations CME and hotel accommodations.

CORE QUALIFICATIONS:
Bachelors degree in relevant field required Masters preferred.
Minimum 3 years of relevant experience required prior conference or financial experience preferred
Bilingual English/Spanish with both verbal and written proficiency
Knowledge of business and management principles.
Ability to direct manage implement and evaluate department operations.
Ability to establish department goals and objectives that support the strategic plan.
Ability to effectively plan delegate and/or supervise the work of others.
Ability to lead motivate develop and train others.
Ability to maintain effective interpersonal relationships.
Any appropriate combination of relevant education experience and/or certifications may be considered.
