Position Summary The Trust Reconciliation Specialist will be responsible for completing monthly reconciliations of trust accounts between SecurManage trial balances and individual client trust subledgers (three-way reconciliation). This role ensures the accuracy and integrity of fiduciary funds with a focus on Department of Corrections (DOC)-related trust transactions compliance with established SOPs GAAP and accounting standards. The position will also support reconciliations of unclaimed funds ensuring compliance with Florida state requirements. Key Responsibilities - Perform monthly three-way reconciliations of trust account balances (Bank General Ledger individual trust subledgers) in SecurManage against trial balances.
- Investigate and resolve discrepancies in a timely manner documenting findings and corrective actions.
- Review and validate trust transactions including weekly draws special checks subsistence payments COPS and family obligations.
- Maintain accurate reconciliation records and supporting documentation for audit readiness.
- Reconcile unclaimed funds and prepare documentation for remittance to the Florida Department of Financial Services per statutory requirements.
- Collaborate with accounting and auditing staff to ensure financial records are complete and accurate.
- Ensure compliance with GAAP DOC contract requirements state unclaimed property laws and internal SOPs.
Required Qualifications - Demonstrated experience in trust account reconciliations or similar fiduciary accounting work.
- Strong knowledge of three-way reconciliations (Bank GL subledger) and reconciliation processes for multiple ledgers and trial balances.
- Experience with unclaimed funds reconciliations and related statutory reporting.
- Proficiency in fiduciary accounting software (SecurManage preferred).
- High attention to detail and ability to work under deadlines.
Preferred Qualifications - Previous experience with Department of Corrections trust accounting or similar regulated fiduciary environments.
- Familiarity with statutory trust requirements and DOC financial compliance.
- Experience resolving complex reconciliation discrepancies in high-volume environments.
- Proficient in Microsoft Excel.
- Bachelors degree in Accounting or equivalent experience.
