Job Description

JOB SUMMARY

To efficiently maintain accurate financial records and accurately process financial transactions for the school and school system. Perform daily accounting tasks such as monthly financial reporting general ledger entries and record payments and adjustments.

ESSENTIAL JOB FUNCTIONS:

The minimum performance expectations include but are not limited to the following functions/tasks:

  • Use school accounting software package;
  • Writes all checks;
  • Receives records and deposits all money;
  • Maintains complete bookkeeping system; which includes up to date account balances.
  • Prepares financial reports;
  • Prepares and routes purchase orders and reconciles vendors invoices;
  • Picks up deposit bags from bank;
  • Maintains financial filing system;
  • Processes written communications as necessary;
  • Prepares financial statements and bank statement reconciliations are required;
  • Communicates with school departments and Central Office Accounting Department;
  • Collects debts and maintains records of all collected debts;
  • Maintain inventories as required;
  • Order all school wide supplies;
  • Manage and monitor custodian budget;
  • Request transportation for field trips;
  • Assign classroom keys;
  • Communicate openly and effectively with students parents community patrons staff and Division administration as a positive representative of Culpeper County Public School system;
  • Prepare records needed for annual audit; and
  • Performs other assigned

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • Possess a high school diploma or general education development diploma (GED);
  • Preferably have completed three (3) years of general office or bookkeeping experience;
  • Or equivalent training education and/or experience.

KNOWLEDGE SKILLS AND ABILITIES:

  • Knowledge of general office procedures and equipment including microcomputers word processors and required software calculators business arithmetic and English.
  • Ability to maintain financial records and prepare reports.
  • Ability to make decisions in accordance with regulations and policies.
  • Ability to work independently without supervision.
  • Ability to maintain good working relationships with all employees and the public.
  • Ability to physically perform duties specific to the job assignment with or without accommodations.
  • Ability to follow written and oral directions.
  • Dress in such manner as to command the respect of parents teachers and students.
  • Demonstrate professional moral and ethical standards as well as personal integrity in all interactions within the school and within the community.
  • Other such qualifications that the school board might accept in lieu of any of the above.
  • Be recommended by the division superintendent and appointed by the school board.

PHYSICAL DEMANDS:

Work is typically performed in the central office and throughout the division. Frequent walking standing stooping lifting up to approximately 40 pounds and occasional lifting of equipment weighing up to approximately 50 pounds may be required. Other limited physical activities are required. Travel to schools throughout the division and central office is required. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data determining the accuracy and thoroughness of work and observing general surroundings and activities.

WORK ENVIRONMENT:

Work environment exposes the employee to inside and outside environmental conditions. Regular contact with staff members administrators and parents is required. Contact with parents by phone and in person is necessary. Timely and regular attendance is an expectation of performance for all CCPS employees. To ensure adequate staffing positive employee morale and to meet expected productivity standards throughout the organization employees will be held accountable for adhering to their workplace schedule.

EVALUATION:

The supervisor will evaluate performance on the ability and effectiveness in carrying out the above responsibilities.
