POSITION: Winter Musical Producer
LOCATION: Ellensburg High School
REPORTS TO: Activities Coordinator
JOB DESCRIPTION: The EHS Winter Musical Producer is responsible for overseeing all non-artistic elements of the production to ensure a smooth successful and educational experience for students. This role focuses on creating a positive inclusive environment where students can explore the fundamentals of musical theatre production while developing leadership communication and collaboration skills. The producer manages logistics such as budgeting scheduling communication and coordination between staff students and families. They also help ensure that each student feels supported and empowered throughout the rehearsal and performance process.
ESSENTIAL JOB FUNCTIONS:
Production Oversight
- Supervise all aspects of production including auditions casting rehearsals performances and strike.
- Participate in the selection of the musical with the Stage Director and Musical Director; submit final selection to the Activities Coordinator for approval.
- Maintain authority over all non-artistic elements of the production while supporting the creative vision of the Stage Director.
- Act as a liaison and resource for the Director in the artistic aspects of the production.
- Monitor progress of scene construction costume development and show readiness to ensure timelines are met.
Staffing and Leadership
- Participate in the hiring and coordination of the production team members as needed (final hiring through Ellensburg School District).
- Work with and mentor student officers cast and crew in areas of leadership responsibility and theatre production skills.
- Mediate conflicts or crises among students and staff as they arise.
Scheduling and Facility Coordination
- Assist with and help coordinate the master production calendar.
- Communicate with district personnel regarding the use of Morgan Middle School auditorium and other facilities.
- Open and close buildings as needed for rehearsals and performances.
- Coordinate with MMS maintenance for final approval and restoration of auditorium space after strike.
- Ensure mutual respect and coordination of props costumes and sets between Fall and Winter productions.
Financial Management
- Set the production budget in collaboration with the Activities Coordinator and Director.
- Oversee all financial decisions including royalty payments purchases and gate receipts.
- Secure and distribute necessary materials from licensing companies including scripts librettos scores and orchestra arrangements.
- Ensure all financial transactions follow ASB regulations and submit receipts deposits and documentation accordingly.
- Provide an annual inventory and financial report to the Activities Coordinator.
Publicity and Ticketing
- Oversee all promotional efforts including poster and program design press releases and online/social media publicity.
- Manage ticket production QR coding online ticketing setup and general door sales.
- Collaborate with the House Manager to ensure a smooth audience experience.
Volunteer and Community Engagement
- Coordinate parent and community volunteers in collaboration with the Volunteer Coordinator.
- Serve as the point of contact for families and volunteers throughout the production process.
- Communicate all expectations clearly to staff students and parents.
Property Management
- Ensure that theater properties including costumes props sets equipment and supplies are maintained and organized by the hired or volunteer staff responsible or assigned to each area of the production.
- Ensure all items are cleaned returned categorized and stored properly after production.
- Communicate with school personnel regarding movement and storage of physical assets.
Meetings and Compliance
- Attend required adviser meetings and training sessions.
- Maintain compliance with school policies ASB regulations and district expectations for student-centered events.
- Perform other duties as assigned by the Activities Coordinator.
MINIMUM REQUIREMENT:
- Must be 21 year of age or older.
- Must qualify to work in the proximity of children under the conditions of a WSP/FBI background check.
- Must have a current First Aid and CPR Certificate and be versed in related preventative health and training standards.
- Must complete Blood Borne Pathogen and Sexual Harassment Training.
QUALIFICATIONS:
- Possess knowledge of musical theatre.
- Possess knowledge in design set construction lighting tech sound tech costumes and makeup.
- Strong leadership and organizational skills.
- Ability to work in a positive supportive manner with student participants parents school administration and staff.
- Ability to communicate effectively with student participants parents school administration and staff.
- Ability to work as a responsible member of a staff in full cooperation with the Activities Coordinator.
