Job Summary

To develop coordinate execute and lead the Faculty of Pharmaceutical Sciences alumni relations program and strategies. The incumbent is a senior professional in the Faculty of Pharmaceutical Sciences Development and Alumni Relations team. The incumbent will lead and manage priority alumni relationships that advance the Faculty of Pharmaceutical Sciences strategic goals through building relationships and enriching the lives of alumni. The optimal goal is development of a lifelong relationship between the Faculty of Pharmaceutical Sciences and its alumni on a local national and international level. Working in collaboration with the Faculty of Pharmaceutical Sciences Development and Alumni Relations team and alumni UBC the incumbent identifies cultivates and steward relationships with key alumni leaders and volunteers that may include: leveraging existing alumni and institutional relationships; identifying volunteer and recognition opportunities to engage alumni; building connections to respond to alumni interests; engaging academic units and facilitating fundraising opportunities as appropriate. The incumbent is the lead for the Facultys alumni newsletter ensuring the highest quality of robust content and design to best reflect the Faculty of Pharmaceutical Sciences in the public sphere. Works collaboratively with the Facultys communications and marketing staff to identify and lead external communications related to alumni industry partners and key Faculty stakeholders.

This position requires a thorough knowledge of the activities undertaken by Alumni Relations alumni UBC DAE as well as knowledge of the Faculty of Pharmaceutical Sciences and University policies and procedures.

Organizational Status

Reports to: Senior Director Development and Alumni Relations Faculty of Pharmaceutical Sciences and Senior Director Alumni Engagement alumni UBC.

Collaborates with: key partners including colleagues in alumni UBC; the Development Office; the Dean of Pharmaceutical Sciences; professors and staff in Pharmaceutical Sciences; the Presidents Office Vice- Presidential Offices Ceremonies Public Affairs and other senior administrators as appropriate.

Contacts include: Alumni volunteers donors faculty students external community professional organizations and government agencies


Work Performed

  • Works as part of a cohesive team within the Faculty of Pharmaceutical Sciences Development and Alumni Relations team and alumni UBC to facilitate strategic alumni relationships to maximize student alumni and community engagement and support for the Faculty.

  • Leads the development and execution of the Facultys monthly alumni newsletter providing strategic direction develops and coordinates content contributions and ensures alignment with engagement goals and priorities for all Pharmaceutical Sciences alumni.

  • Collaborate with the Facultys and alumni UBCs communications and marketing staff to ensure alumni accomplishments stories and opportunities to connect are shared across multiple platforms to enhance engagement and inspire pride and connection.

  • Designs and executes a holistic and comprehensive strategy to identify cultivate engage and steward student alumni and industry leaders.

  • Ensures appropriate recognition acknowledgment and stewardship programs are implemented for identified students alumni and community leaders.

  • Develops and implements strategies to identify alumni needs attitudes and feelings towards the Faculty and connect them with appropriate opportunities and partnerships with the University.

  • Formulates and executes targeted strategies to assess alumni needs perceptions and engagement with the Faculty aligning insights with tailored opportunities and strategic partnerships that strengthen their connection to the Faculty and University.

  • Assists in developing a comprehensive plan for identifying cultivating engaging and soliciting donations in support of the Faculty from the alumni community.

  • Manages and maintains an up-to-date and reliable alumni database. Develops a systematic tracking and updating of alumni information.

  • Performs other related duties as required.

1. Strategic Alumni Industry Partner and Community Relations

  • Designs and develops both short & long-term strategic alumni engagement plans in order to leverage alumni & community engagement and further our knowledge of Pharmaceutical Sciences alumni increase interaction with students alumni networks and strengthen multi-stake holder partnerships within priority alumni communities and industry partners.

  • Identifies and builds connections with individual alumni and community connectors to develop and implement a comprehensive strategy to mobilize alumni to be Faculty of Pharmaceutical Sciences ambassadors Advisory Council members and other committee reps key-connectors and build alumni networks.

  • Demonstrate internal UBC leadership and collaboration with university development and senior stakeholders including Alumni UBC DAE centralized development colleagues faculty-based alumni colleagues the Dean of Pharmaceutical Sciences departmental unit heads senior student representatives regional leadership committees and related advancement services.

  • Develops and maintains external leadership and relationship skills that contribute to strategic alumni relationship management including those with professional organizations and associations industry partners government agencies and officials and community organizations.

  • Identifies opportunities with strategic internal and external communities to build relationships of institutional value and engage high-level alumni to advance those relationships within these communities.

  • Identify/develop and/or partner on a select number of strategic opportunities milestones and/or activities that hold strategic and institutional value in order to engage Pharmaceutical Sciences alumni and friends and advance those relationships within communities where there are a significant Pharmaceutical Sciences alumni and / or donor base.

  • Plans and executes a series of high impact initiatives with strategic communities to expand the portfolio of connectors and develop strategic partnerships for the faculty with the support of our alumni leaders.

  • Consults collaborates & partners with Faculty colleagues to design develop manage and review alumni surveys key components of the curriculum review process (multi-department) and alumni program assessments.

  • Provides excellent customer service and support to the many diverse subject areas that make up the Faculty of Pharmaceutical Sciences.

2. Volunteer Management

  • Leads the efforts to recruit alumni volunteers and supports the work of those volunteers to build a dynamic Pharmaceutical Sciences community; engages and encourages current students to become involved in a volunteer capacity to build a connection prior to graduation.

  • Provides leadership in identifying managing and engaging the Faculty of Pharmaceutical Sciences Alumni Advisory Council; oversees and facilitates regular advisory council meetings to support the Faculty and strategic alumni engagement priorities and opportunities.

  • Assists the University in growing the base of engaged volunteers and ensuring that their activities are strategic sustainable and aligned with institutional priorities.

  • Assists faculty members in identifying and approaching alumni to help with the Facultys teaching and research activity.

3. Student & Alumni Relations

  • Connects students with alumni celebrating student success and leveraging existing student affinity and leadership groups.

  • Leads the Faculty of Pharmaceutical Sciences convocation and graduation receptions in the spring and the fall to engage alumni and welcome new graduates
    into the Faculty and alumni UBC community.

  • Seeks out and shares student and alumni stories through the Facultys communications channel.

  • Lead within Pharmaceutical Sciences DAE with Pharmaceutical Sciences Undergraduate Society (PSUS) and Pharmaceutical Sciences Graduate Student Society (PSSA) to identify student ambassadors and student leaders for events and communications materials.

  • Leads the Faculty of Pharmaceutical Sciences convocation and graduation receptions in the spring and fall to engage alumni and welcome new grads into the Faculty and alumni UBC community.

4. Communications

  • Develops recommends and executes data-driven marketing and communication strategies to promote alumni activities programs and services strategically driving alumni engagement and participation.

  • Work in partnership with the Faculty and alumni UBCs communications and marketing staff to oversee alumni communications across multiple platforms and to assure a unified and concerted outreach to the alumni community.

  • Develops and executes the monthly Pharmaceutical Sciences alumni newsletter with a range of compelling stories including alumni profiles and successes to engage a broad base of alumni.

  • Develops and executes an alumni communications strategy that interconnects with goals & priorities of existing platforms and incorporates requests from central alumni messaging campaign messaging themes and priorities in support of overall fundraising goals and FORWARD campaign.

  • Utilize electronic media to keep alumni abreast of Pharmaceutical Science news to identify top trending news / stories to amplify and to feature accomplishments of Pharmaceutical Sciences alumni.

  • Articulates Faculty aspirations and needs to DAE and the alumni UBC group to ensure alignment and maximum impact of resource investments.

  • Provides and communicates strategic advice and information to the Development Alumni and External Relations team; Unit department heads and senior administration to inform decision-making (alumni cultivation/prospecting with major alumni donors) encouraging dialogue and for curriculum and program improvement.

  • Regularly reviews and ensures current and engaging information on the Faculty of Pharmaceutical Sciences Alumni section of the website.

  • Works with the DAE Writer and communications and marketing staff on written materials to promote Pharmaceutical Sciences events and programs.

  • Works with the Communications team to provide appropriate alumni profiles/stories.

5. Event Management

  • Plans and executes a series of high impact alumni events both in-person; virtual (webinars) and hybrid to ensure as broad a reach as possible. A mix of events solely for the Faculty of Pharmaceutical Sciences and partnership events with alumni UBC and industry partners as appropriate. They include the Faculty of Pharmaceutical Sciences Celebration Graduation Homecoming Innovative Thinkers webinar series and MedTalks.

  • Plans and executes alumni events both on and off the UBC campus as well as regional events and activities as required.

  • Work closely with Senior Director of Development in the identification of yearly Development priority projects and endeavors to integrate/match/piggyback any opportunities and/or themes into the goals & objectives of select alumni initiatives.

  • Proactively anticipates strategic institutional and faculty milestones and integrates these activities into a strategic alumni strategy.

  • Ensures flagship events connect with the key faculty themes and priorities and /or Campaign themes.

6. Fundraising

  • Works closely with Development colleagues to advise on donor engagement strategies for alumni donors.

  • Works with Development colleagues advises on plans to cultivate prospective major and planned giving donors and ensures Alumni plans and strategies are well integrated with overall development plans.

7. Database Management & Administration

  • Develops and executes a comprehensive alumni and community engagement statistics package for each degree program within the Faculty.

  • Provides market analysis on targeted alumni activity for alumni and donor engagement strategies.

  • Integrates data plans with overall development & alumni engagement planning.

  • Ensure accurate and complete alumni database records; capture contact biographical and career information of alumni via surveys correspondence website etc.

  • Develops appropriate strategies to engage lost and idle alumni; and other alumni segments as required.

  • Develops and oversee the budget for the Pharmaceutical Sciences Alumni Office. Conducts a complete budget analysis to bring budget into alignment with strategic objectives.

  • Determines objectives summarizes outcomes and expenses evaluates and refines activities as appropriate within the annual program budget.

  • May seek funding opportunities and partnerships for advancing local and regional Alumni Engagement Priorities.

  • Responsible and accountable for the development of Pharmaceutical Sciences Alumni Offices policies procedures best practices and guidelines.


Consequence of Error/Judgement
Accountable to the Senior Director Development and Alumni Engagement and Senior Director Alumni Engagement alumni UBC for the management and operation of all aspects of the alumni program and an accurate knowledge of a wide range of faculty and university policies and procedures is required. Accurate and timely work is critical. As the incumbent will oversee many of the Faculty of Pharmaceutical Sciences most visible interactions with alumni and the broader community errors in judgment could have far-reaching and long-term financial and non-financial consequences.

Supervision Received
Works independently. Reports to Senior Director Development and Alumni Engagement and the Senior Director Alumni Engagement. Establishes performance goals and expectations in consultation with same.

Minimum Qualifications
University degree in a relevant discipline. Minimum of five years of related job experience including experience in fundraising alumni relations advancement experience or the equivalent combination of education and experience.
