General Job Description

This critical role involves supporting the Construction Administration Department by performing administrative assistant duties. This role requires responsiveness excellent communication skills and a proactive mindset. The ideal candidate will be a passionate and driven individual with a relentless drive to explore thrive and collaborate with others. They should demonstrate strong critical thinking effectiveness and an unwavering pursuit of excellence.

Key Duties and Responsibilities

  • Manage and maintain Practice Leader and Construction Administrators calendar coordinating internal and external meetings.
  • Manage department contact lists distribution lists and communication channels.
  • Organize logistics for external meetings including agenda preparation meeting notes and follow-ups.
  • Organize and maintain documentation across Procore Autodesk Construction Cloud and Newforma.
  • Track commitment and tasks across the department and follow up.
  • Maintain department correspondence opening sorting filing and distributing mail and email appropriately.
  • Prepare reports presentations and documentation as requested.
  • Process and track expense reports and liaise with accounting on behalf of the Practice Leader.
  • Assist the department in completing reports correspondence and documentation.
  • Assist Construction Administrators with administrative tasks as needed.
  • Monitor compliance with company standards for file naming folder structures and use of Newforma/SharePoint project platforms.

Education and Experience

  • Education Requirements: Bachelors Degree in business project management or a related subject area preferred.
  • Work Experience: 3 or more years of experience in A/E contracting design and construction.

Software Skills and Knowledge

Computer Skills: Ajera Microsoft Office Suite ATS System Autodesk Construction Cloud Procore

Salary Range: $47000 - $75000

Work Environment

This position will be in an open office work environment.
