Location: Remote (Preference for applicants based in UK/EU)
Commitment: Approx. max 10 Hours/week (Flexible with KPI-driven peaks)

Timezone Context: Coordination with teams in GMT1 (Germany) and GMT3 (Kenya)

Role Overview

EUSMS is seeking a proactive and organized person to support us in grant management and application coordination. The focus of this role is on vetting opportunities ensuring organizational readiness and managing the internal process of assembling successful grant applications. Youll act as a project manager for funding applicationscoordinating documents checking internal compliance and steering submissionsrather than primarily searching for new grants.

This is a strategic volunteer role at the heart of our resource mobilization efforts helping fund scholarships hardship relief and grassroots humanitarian programs across East Africa.

Youll work closely with the CFO and a small team (24 volunteers) to manage the grant lifecycle. Youll use Odoo CRM and the Microsoft 365 suite (especially Lists SharePoint and Outlook) to coordinate submissions track pipeline progress and manage documentation. Strong collaboration with field teams in Kenya and Uganda will be essential for building localized evidence-based applications.

Tasks

Key Responsibilities

Internal Vetting & Eligibility

Conduct fit-gap analysis of donor requirements against EUSMS capabilities

Ensure all internal documentation budgets and metrics are in place for compliance

Flag risks or capacity constraints before applications are submitted

Proposal Coordination & Submission

Act as project manager for application preparation: coordinating inputs from finance programs and field teams

Support the writing editing and tailoring of proposals where needed

Ensure submissions meet donor protocols and deadlines

Pipeline & Process Management

Maintain a structured grant tracker using Odoo 18 Community Modules

Keep clear records of application cycles deadlines eligibility checks and outcomes

Occasionally identify new opportunities aligned with our mission (secondary priority)

Monitoring Evaluation & Reporting

Collaborate with the M&E Officer IT Program & Operations in E. Africa CFO and CEO

Ensure reporting schedules and obligations are tracked in Odoo

Support timely submission of interim and final donor reports

Requirements

Key To-Have Skills

Fluency in English (required); German or Swahili strongly preferred

Strong organizational and project management skills; comfortable managing multiple deadlines

Experience with CRM systems (especially Odoo) and Microsoft 365 tools

Strong written and verbal communication skills

Bonus: Previous experience with international development or nonprofit grants

Bonus: Ability to conduct structured web research for grant portals
