The Order Processing Specialist serves as a critical support role within Quest Aviation s operations team. This specialist is responsible for managing the full lifecycle of aviation service orders whether for charter flights aircraft management or maintenance requests ensuring each request is processed accurately timely and in compliance with company policies. The role demands precision strong communication and seamless coordination between internal teams and external partners to uphold Quest Aviation s standards of service excellence.
Receive and enter service orders for charter flights aircraft support maintenance scheduling and parts sourcing with attention to detail.
Validate order information confirming client details service requirements and approval documentation before submitting to relevant departments.
Generate order confirmations updates and status notifications for internal stakeholders and external clients.
Track and monitor open orders through execution updating systems accordingly and flagging delays or discrepancies to supervisors.
Collaborate with departments such as Flight Operations Maintenance and Dispatch to prioritize tasks and resolve order-related issues.
Prepare daily and weekly reports on order volumes fulfillment timelines and bottlenecks to inform management decisions.
Identify and recommend workflow improvements to streamline order processing and enhance team productivity.
Maintain organized physical and digital records of all order transactions ensuring quick retrieval and audit-readiness.
High school diploma or equivalent required; Associate s or Bachelor s degree in aviation logistics or business administration preferred.
Previous experience in order processing or operations coordination aviation industry experience is an asset.
Exceptional accuracy and organizational aptitude with strong data entry skills.
Proficiency in office software (e.g. MS Excel) order-management systems and internal aviation tools.
Excellent communication written and verbal and ability to collaborate under pressure.
Resourceful problem-solving skills with a proactive mindset toward continuous process improvement.
