Job Description

This is a remote position.

The Document Control Clerk plays a crucial role in maintaining the precision accessibility and security of all documentation within Quest Aviation. This includes managing everything from aircraft maintenance logs and regulatory filings to operational manuals and internal communications. Organized and detail-oriented this role ensures that accurate and up-to-date documents are available to teams across the organization.

Key Responsibilities

  • Document Management: Receive categorize file and maintain both physical and electronic documents focusing on version control document identification and traceability.

  • Regulatory Compliance: Ensure that aviation documents such as maintenance records safety reports and audit files meet all regulatory and company standards.

  • Access Control: Maintain a secure well-organized document repository; manage file access permissions and track document circulation.

  • Revision Control: Track revisions apply updates record change history and ensure archived versions are readily retrievable when needed.

  • Documentation Support: Provide administrative assistance for document requests internal workflows and regulatory inspections or audits.

  • Cross-Department Coordination: Work closely with Maintenance Flight Operations Safety Quality Assurance and other departments to provide timely document access and support.



Requirements

  • High school diploma or equivalent required; additional training in documentation management office administration or aviation is a plus.

  • Prior experience in document control records management or administrative support aviation or regulated environment experience advantageous.

  • Strong organizational skills attention to detail and ability to maintain high accuracy in a fast-paced environment.

  • Proficient with document management systems spreadsheets and electronic filing platforms.

  • Discreet and professional in handling sensitive and confidential information.

  • Excellent communication skills and the ability to collaborate effectively across various teams.

Bachelor s degree in Aviation Management, Aerospace Engineering, Business, or related field (Master s preferred). Minimum of 10 years in aviation operations or management, with at least 5 years in a leadership role. Deep knowledge of FAA and international regulatory requirements. Proven leadership with the ability to build cohesive, high-performing teams. Strong analytical, budgetary, and strategic planning skills. Pilot license or aviation certification is advantageous but not mandatory.
