JL Exhibit Services is seeking a highly organized and detail-oriented Document Specialist to manage the creation formatting organization and quality control of company documentation. This role ensures that all internal and client-facing documents are accurate consistent and meet brand and compliance standards. The ideal candidate is experienced in document management editing and collaborating across departments to support smooth workflow and communication.
Create edit format and proofread documents such as proposals contracts schedules internal forms and client communications
Ensure consistency in formatting branding and version control across all documents
Maintain document templates and ensure teams are using current versions
Organize and manage digital document filing systems for easy retrieval and reference
Collaborate with departments to gather necessary content and ensure accuracy
Track and manage document revisions approvals and distribution timelines
Ensure compliance with company guidelines and industry standards
Assist with document-related tasks during trade show planning and execution phases
High school diploma or equivalent required; Associate or Bachelor s degree preferred
2 years of experience in document control technical writing or administrative support
Advanced proficiency in Microsoft Office (especially Word Excel and PowerPoint)
Excellent grammar spelling and proofreading skills
Strong attention to detail and commitment to document accuracy
Ability to manage multiple projects and meet deadlines
Strong organizational and communication skills
Experience in the trade show event planning or logistics industries
Familiarity with PDF editing tools (e.g. Adobe Acrobat)
Knowledge of file naming conventions digital archiving best practices and document control systems
Experience with project management tools (e.g. Smartsheet Trello or similar)
