Job Description

Under supervision of the City Attorney and/or his designee the Junior Management Assistant performs general administrative and management functions with rotating assignments and assists the City Attorney and executive staff with various projects.

The essential functions of the job include:

  • Performs administrative and management functions in the areas of operations and/or office management/support services including preparing proofreading and delivering confidential documents for the City Attorney
  • Coordinates and assists in administering Offices internship program; may include presentations and other public speaking duties
  • Assists in the preparation of fiscal reports
  • Coordinates clerical and technical support activities
  • Gathers compiles and analyzes data usually of a confidential nature and prepares confidential reports
  • Assists in developing and recommending changes to rules regulations policies and procedures
  • Assists in the analyses of programs proposals and projects
  • Coordinates and analyzes feedback on office policies and procedures
  • Assists with organizing and tracking contractual documents

Qualifications :

Minimum Qualifications

Education:

Possession of a baccalaureate degree from an accredited college or university.

Substitution:

Qualifying experience performing professional-level administrative duties in functional areas such as: program/office/operations management budget development and/or administration or contract/grant administration may substitute for the required education on a year-for-year basis. One (1) year (2000 hours) of qualifying experience will be considered equivalent to thirty (30) semester units or forty-five (45) quarter units.

Desired Qualifications

  • Experience with Microsoft Forms Excel and Outlook
  • One year of experience providing executive-level administrative support preferably to an executive or senior manager
  • Effective written and oral communication
  • Excellent interpersonal skills and a positive attitude with the ability to collaborate across teams and departments support leadership priorities and professionally interface internally and externally
  • Ability to assume responsibility quickly demonstrate initiative and problem-solving skills and exercise sound judgment in when to seek guidance
  • Ability to work effectively and efficiently within multiple competing deadlines ensure attention to detail and adjust to last minute assignments and workload changes
  • Commitment to valuing diversity and contributing to an inclusive working and learning environment

Selection Procedures:

The Junior Management Assistant position has a 5-step salary scale ranging from $84734 $103038. The successful applicant is appointed to a salary step based on years of experience/education.
