Job Description

The Programs Department plays a vital role in fostering community engagement by planning developing organizing and managing a myriad of special projects and events throughout the year for the Brooklyn Borough Presidents Office (BBP). This dynamic department collaborates with a diverse array of organizations to create a rich tapestry of multicultural events that celebrate themes such as diversity heritage health and wellness youth empowerment senior engagement sports the arts climate awareness education and civic participation all designed to serve the vibrant needs of residents and visitors alike.

The BBP office is actively seeking a detail-oriented organized and creative self-starter with outstanding communication planning and customer service skills for the role of Programs Events Coordinator. This pivotal position will be part of a central team dedicated to orchestrating the agencys events under the guidance of the Director of Programs. The coordinator will work closely with various stakeholders including governmental agencies non-profit organizations educational institutions staff and volunteers ensuring that every event is executed flawlessly.

This candidate will need to demonstrate independent judgment in planning work details and making informed decisions. Interfacing with both the public and elected officials they must embody a strong commitment to the values and vision articulated by the Brooklyn Borough President. Flexibility is key as the coordinator will be expected to work nights and weekends performing a comprehensive range of tasks which include but are not limited to:

-Strategically planning organizing coordinating and facilitating assigned events to ensure a seamless and engaging experience for all participants.
-Managing detailed logistical and operational tasks critical to the planning and execution of special events at the BBPs office overseeing every aspect with precision.
-Exercising independent decision-making capabilities supported by supervisors within designated areas of responsibility.
-Serving as a vital liaison with vendors on event-related matters establishing and maintaining strong lines of communication with personnel from various external organizations.
-Developing and presenting insightful weekly status reports and departmental presentations while utilizing work plans checklists and other tools to effectively guide programming timelines.
-Identifying and coordinating with appropriate vendors to manage essential elements of an event including catering venue setup and other logistical considerations.
-Overseeing the events calendar maintaining an organized guest list and meticulously managing all event registration attendance tracking and post-event analysis to evaluate success.
-Bringing fresh ideas and perspectives to the table actively proposing innovative approaches to improve event processes and designing new methods for execution.
-Conducting thorough research and providing thoughtful recommendations on potential programs and best practices that align with the Brooklyn Borough Presidents strategic goals and policies.
-Collaborating closely with the Communications team to ensure that marketing needs for relevant events and projects are met with creativity and effectiveness.
-Partnering with the General Counsel and Partnership departments on event-related projects fostering a spirit of collaboration and teamwork.
-Taking on any other duties as assigned contributing to the overall success of the department and the BBPs office.

Qualifications :

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to 1 or 2 above. However all candidates must have at least one year of experience as described in 1 above.
