This Executive Assistant role offers a unique opportunity to support leadership across multiple time zones in a fast-paced security consultancy environment. You ll be the organizational backbone of the team utilizing modern tools like Notion and Xero to streamline operations and coordinate activities between international team members. Manage end-to-end payroll administration and processing through Xero ensuring accuracy and compliance.
Handle track and reconcile invoicing and billing processes supporting efficient financial operations.
Format proposals reports and business documents to meet professional presentation standards.
Organize update and maintain company documentation and records for easy access and accuracy.
Provide calendar management and executive support including scheduling meeting preparation and reminders.
Support day-to-day administrative tasks across multiple business functions to ensure smooth operations.
Coordinate and streamline administrative workflows between the Perth and Sydney offices.
Maintain and update Notion databases ensuring alignment across projects clients and invoicing activities.
Conduct market research on competitors industries and regions to support business decision-making.
Requirements:
Proven experience with Xero accounting software including payroll and invoicing.
Strong attention to detail with excellent document formatting editing and organization skills.
Proficiency in Microsoft 365 applications (Excel PowerPoint Word) to support reporting and presentations.
Hands-on experience with maintaining and managing Notion databases.
Demonstrated background in executive assistance or senior administrative support ideally with exposure to founders or senior leadership teams.
Strong skills in proposal and report formatting to ensure professional standards are consistently met.
Advanced calendar management and coordination abilities with a proactive approach to scheduling.
Ability to work independently prioritize effectively and manage multiple projects simultaneously.
Proven experience supporting senior executives or business founders with discretion and professionalism.
